What is the role? Based in our Brisbane Head Office, we have an exciting opportunity for an Office Coordinator to become the heart of our team!
As our next Office Coordinator, you'll play a key role in delivering exceptional administrative support and customer service to both our internal team and external stakeholders. You'll be the face of the office, keeping operations running smoothly by managing the front desk and maintaining a tidy, organised environment. Your responsibilities will include coordinating travel, managing credit card administration, providing seamless support to our CEO (including calendar management and credit card oversight), and assisting with event coordination.
What you'll be doing As our Office Coordinator you'll:
Be the welcoming face of Lorna Jane, greeting visitors, clients, and team members with professionalism and warmthManage incoming calls, directing them to the appropriate departments or individuals promptlyMaintain a tidy and organised reception area, always ensuring a welcoming atmosphereProvide administrative support to HQ departments by assisting with inquiries and facilitating communication between teamsCoordinate and schedule appointments, meetings, and conference room bookings as required, including managing the CEO's calendar to ensure efficient time managementLiaise with external vendors and service providers to ensure seamless operationsAssist with ad hoc tasks as required to support the smooth operations of the office, ensuring all administrative needs are met efficiently and promptlyUphold high standards of cleanliness and organisation at the reception area and communal spaces inclusive of meeting rooms, kitchen and bathroom areasManage the cleaning contract for HQ, conducting monthly walks with the vendor to ensure compliance with agreed termsMonitor and manage office supplies, ensuring availability and efficient usageAssist team members with travel arrangements, including booking flights, accommodations, and transportationManage corporate credit cards, reconciling expenses, and maintaining accurate recordsAssist in coordinating company events, including logistics, venue coordination, catering, and managing RSVPs as required while also ensuring events are delivered within budget guidelinesWho We're Looking For Previous experience in a customer service or administrative roleExcellent communication and interpersonal skillsAbility to work autonomouslyProficiency in Microsoft Office suite and other office management softwareStrong organisational abilities with attention to detailAbility to multitask and prioritise responsibilities effectivelyProactive attitude with a customer service-oriented mindsetOur Commitment to you At Lorna Jane, we're committed to creating a workplace where everyone feels valued and included.
