What is the role?
Based in our Brisbane Head Office, we have an exciting opportunity for an Office Coordinator to become the heart of our team!
As our next Office Coordinator, you'll play a key role in delivering exceptional administrative support and customer service to both our internal team and external stakeholders.
You'll be the face of the office, keeping operations running smoothly by managing the front desk and maintaining a tidy, organised environment.
Your responsibilities will include coordinating travel, managing credit card administration, providing seamless support to our CEO (including calendar management and credit card oversight), and assisting with event coordination.
What you'll be doing As our Office Coordinator you'll: Be the welcoming face of Lorna Jane, greeting visitors, clients, and team members with professionalism and warmth Manage incoming calls, directing them to the appropriate departments or individuals promptly Maintain a tidy and organised reception area, always ensuring a welcoming atmosphere Provide administrative support to HQ departments by assisting with inquiries and facilitating communication between teams Coordinate and schedule appointments, meetings, and conference room bookings as required, including managing the CEO's calendar to ensure efficient time management Liaise with external vendors and service providers to ensure seamless operations Assist with ad hoc tasks as required to support the smooth operations of the office, ensuring all administrative needs are met efficiently and promptly Uphold high standards of cleanliness and organisation at the reception area and communal spaces inclusive of meeting rooms, kitchen and bathroom areas Manage the cleaning contract for HQ, conducting monthly walks with the vendor to ensure compliance with agreed terms Monitor and manage office supplies, ensuring availability and efficient usage Assist team members with travel arrangements, including booking flights, accommodations, and transportation Manage corporate credit cards, reconciling expenses, and maintaining accurate records Assist in coordinating company events, including logistics, venue coordination, catering, and managing RSVPs as required while also ensuring events are delivered within budget guidelines Who We're Looking For Previous experience in a customer service or administrative role Excellent communication and interpersonal skills Ability to work autonomously Proficiency in Microsoft Office suite and other office management software Strong organisational abilities with attention to detail Ability to multitask and prioritise responsibilities effectively Proactive attitude with a customer service-oriented mindset   Our Commitment to you At Lorna Jane, we're committed to creating a workplace where everyone feels valued and included.
