The BC Association of Aboriginal Friendship Centres (BCAAFC) is an innovative organization working collaboratively with its member centres and partners to support urban Indigenous people through supporting the work our of 25 BC Friendship Centres.
The BCAAFC Office Assistant provides a support role to programs across the organization, and works closely with the Finance Department and Office Manager.
Key Duties and Responsibilities
Purchaser- works with Teams Leads and the Office Manager in procuring program supplies; ensures that BCAAFC documentation is complete and supplied to Finance Department in a timely manner. Travel Coordination- books travel for the BCAAFC team; ensures that BCAAFC documentation is complete and supplied to Finance Department in a timely manner. Supports travel bookings made for Elders, PAYC members, Board members. Assists the Office Manager with office maintenance oversight (documents broken equipment, sources replacement information etc) Provides administrative support to the General Manager as needed (preparing photocopies, organizing materials) Provides back up to Director of First Impressions (managing the voice mail account, incoming, outgoing mail) Managing credit card purchase requests, ensuring proper management of receipts and invoices per finance protocols Assist with collecting incoming reporting from Friendship Centres Assist in contract and payment disbursements Participate in membership meetings and zoom calls as required Assist with and ensure up to date record keeping for contracts team Knowledge and Abilities
Good working knowledge of Microsoft Office and SharePoint & mobile applications Creative and strong problem solving skills Able to produce clear minutes & actions for all BCAAFC meetings Driven to meet or exceed expectations, takes initiatives, and driven to meet deadlines Resourcefulness and flexibility Ethics and integrity, working with confidential materials and information Strong interpersonal skills Qualifications & Experience
Excellent time management and organizational skills Demonstrated ability to take initiative and work effectively with limited supervision in fast paced and high- pressure environment Interest and knowledge of both the non-profit sector and the urban Indigenous community Minimum of 2 years' experience in a similar role Ability to handle a variety of different personalities with ease Experience working with Indigenous communities and/or urban Indigenous service organization Position Information:
The place of work is 551 Chatham Street; a hybrid model of up to 2 days from home may be The BCAAFC is an accessible space including ground floor workspaces, elevator and accessible workstations. The selected individual and must have a stable internet connection and telephone/cell-phone. IT services and laptop will be supplied.
