We are looking for an experienced and dynamic Office Administrator to join our team and play a pivotal role in supporting our daily operations.
Position Summary The Office Administrator will work closely with the Office Manager and Managing Director to provide essential administrative and clerical support to ensure smooth and efficient office operations. This role requires a highly organized and detail-oriented individual who can manage various office tasks, assist with accounts, and maintain excellent communication with our team, clients, and vendors.
About the role (Key Responsibilities) Office Management: Oversee daily office operations, including ordering supplies, employee onboarding, organising electronic files, and maintaining a professional, organized workspace.Accounts: Assisting with Payables, Receivables and Payroll. Document Control: Record Keeping, Maintain and organize project documentation, ensuring accurate filing, retrieval, and distribution of all important records and files.Data Entry & Reporting: Enter and update data in various systems, prepare reports, and compile data to support management and project teams.Communication: Act as the primary point of contact for incoming calls and emails, directing inquiries to the appropriate personnel and maintaining strong communication channels across the team.Scheduling & Coordination: Schedule meetings, appointments, and vehicle and equipment maintenance, ensuring efficient time management and resource allocation for the office and project teams.Project Support: Provide administrative support for ongoing construction projects, including assisting with health & safety, processing documentation, and liaising with survey managers.Compliance: Ensure compliance with company policies and procedures, particularly in documentation and office protocols.Assistance to Leadership: Provide general administrative support to the management team as needed. What we're looking for Experience: Minimum 2 years of office administration experience, preferably in the surveying / construction / engineering / architecture industry.Software Proficiency: Experience with Xero and proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Communication Skills: Excellent written and verbal communication skills with a customer-focused approach.Organizational Skills: Exceptional organizational skills with a strong attention to detail and the ability to manage multiple tasks in a fast-paced environment.Problem-Solving: A proactive approach to solving problems and ensuring the smooth running of office operations.
