Position: Administration Assistant
Job SummaryThe Administration Assistant will play a crucial role in supporting the daily operations of our business. This individual will be responsible for managing administrative tasks, fostering and maintaining relationships with non-for-profit organisations, and ensuring seamless communication between our team and clients. The Administrative assistant will work predominantly within the 'ServiceM8' scheduling program to manage technicians scheduling, order equipment, generate quotes and invoices and record maintenance.
Key ResponsibilitiesAdministrative Support: Perform general administrative duties such as filing, data entry, scheduling jobs, and managing correspondence.Client Relationship Management: Build and maintain strong relationships with non-for-profit organisations, acting as the primary point of contact for all administrative enquiries.Documentation: Prepare and manage documentation including contracts, reports, and client records.Communication: Facilitate effective communication between the security technician team and clients, ensuring all parties are informed and updated on project statuses.Coordination: Assist in coordinating security installations and maintenance schedules with the technical team and clients including ordering equipment and seeing up Duress Safety watches for clients.Problem-Solving: Address and resolve any administrative issues or client concerns in a timely and efficient manner.Financial Administration: Assist with invoicing, quoting, and tracking expenses related to client projects.Payroll: Lead fortnightly payroll, manage time record keeping, leave balances and absences. QualificationsEducation: A high school diploma or equivalent; additional qualifications in office administration or a related field are a plus.Experience: Proven experience in an administrative role, preferably within a small business or non-for-profit sector. Experience working with ServiceM8 is highly desirable. Xero knowledge is preferred. Skills: Strong organisational and multitasking abilities.
