Are you ready to make a difference? IPS, a trailblazer in single-source, integrated EPCMV for technically complex facilities, is expanding. Our newly established office in Melbourne's Central Business District is seeking a proactive Office Administrator to join our industry-leading team.
In this role, you'll play a pivotal role in our operations. From office administration to marketing support, you'll collaborate closely with project managers, regional leaders, and our global support network.
What You'll Do Handle incoming phone calls, emails, and posts. Welcome visitors and guests with warmth. Monitor office and equipment supplies, ensuring seamless operations. Maintain kitchen, break-out areas, and conference rooms. Create and maintain databases, filing systems, logs, and reports. Support travel organization and expense management. Assist in writing contracts, invoices, and backup documentation. Participate in project meetings, document protocols, and track action items. Represent the company in client interactions. Exhibit fiscal responsibility in all tasks. Complete assigned project work accurately and on time. Organize office events as needed. Handle timesheets, expense reports, and general ordering. Salary Range: $65,000 - $75,000 per year, commensurate with experience.
Qualifications & Requirements: 3+ years of general business or administrative experience, preferably in an Engineering, Architectural, or Pharmaceutical setting. Proficiency with Adobe/Acrobat and Microsoft Office; Word, Excel, PowerPoint, Visio, and Outlook. Preferred Qualifications Office administration and/or support experience. An Associate's Degree in Business or equivalent.
