OverviewBenarNews is seeking an Office Administrator to join the Pacific news team to effectively manage the general administration and daily operations in our soon-to-be-established Brisbane bureau. Core responsibilities will include overseeing fiscal processes and accounts, managing personnel information, ensuring smooth operations, working with external vendors, and supervising clerical tasks.
Reporting to the Head of Pacific News, they will also provide comprehensive administrative support across various functions including technology, travel and human resources, among others. The ideal candidate should possess strong organizational skills and have the ability to handle confidential matters with discretion and exercise a high degree of independent judgment. 
Experience working across different time zones and with colleagues from diverse cultural backgrounds is strongly desired. Awareness of Pacific regional geography, languages, cultural, social and political environment highly regarded.
ResponsibilitiesProvide general administrative support to the Head of Pacific News through the efficient management of daily operations of the Brisbane bureau, as well as work closely with key staff members at Washington D.C headquarters when required. Deliver effective project management support on key infrastructure projects and special initiatives for the Brisbane bureau.Ensure bureau activities are in compliance with organizational policies and procedures.Manage the bureau's finances and process expenses and invoices, including for news and technical operations; collaborate closely with Washington DC's finance department. Schedule and coordinate international travel and news deployments, including booking transport and accommodation for journalists and visiting staff from Washington DC headquarters, and any other related coordination, organizational, or event management tasks.Manage all personnel processes and information, schedule training and supervise all clerical functions.Maintain inventory of all tech, office infrastructure, broadcast assets and office supplies.Ensure effective vendor and contract management, as well as serve as the technology, security, helpdesk, and data management point of contact for the bureau.Assist with running reports, preparing presentations, and other special projects, such as engagement activities, employee communication, and research.Other duties as assigned by the supervisor.QualificationsAt least two or more years of professional experience in an administrative role; prior experience in a media company is preferred.Academic credentials (Bachelor's degree in business administration or operations management or related field from an accredited college or university preferred) or equivalent transferable skills with demonstrated proof of strong operational and organizational management.Excellent verbal and written communication skills and proficient with Microsoft Office Suite (Excel, Word, and Outlook), and other collaboration and project management software tools.Good understanding in essential office I.T. hardware and software, ability to work with external vendors when necessary. Strong organizational and problem-solving skills, with attention to detail and ability to collaborate and multitask effectively across projects.Excellent interpersonal skills including cultural awareness, and an ability to work well in a multicultural environment.Experienced with human resources management, and/or a good understanding of the local labor lawsExperience with basic budgeting, accounting and spreadsheet software is highly desirable.The ability to create captivating visuals using Canva/Photoshop/Adobe Illustrator or Video Editing skills well regarded.Full professional fluency in English required, any additional Pacific or BenarNews languages is preferred but not essential.Application Instruction: Please include a cover letter along with your application.
