Role Overview: Ello Care is looking for an organised, eager-to-learn and proactive Trainee or Junior Office Administrator to help keep our office running smoothly. In this role, you'll support our team by taking on a variety of tasks essential to the daily flow of our operations.
As a Trainee / Junior Office Administrator, your responsibilities will include assisting with billing, managing documents and providing general administrative support to the team. You'll also engage with clients, handle incoming communications and help maintain a clean, professional and welcoming office space.
This position is ideal for someone who may be new to office administration and is enthusiastic about developing their skills in a supportive, fast-paced environment. You'll have the chance to contribute to our team's success while receiving on-the-job training and guidance to grow in your role. Whether you're starting your career or looking to build foundational office skills, this opportunity offers a pathway to grow within our team.
Key Responsibilities: Assist with billing processes, including invoicing and data entry. Manage, support and organise senior staff schedules, ensuring accurate and timely updates. Maintain and organise office documents, records, and files. Provide general administrative support, responding to ad-hoc requests as they arise. Professionally answer, screen, and distribute phone calls. Answer incoming email queries to our general inbox. Warmly greet visitors and clients, ensuring a positive experience. Maintain a clean and presentable office environment. Enter participant data, ensuring accuracy and confidentiality. Take responsibility for the timely and thorough completion of tasks. Display an understanding of and adhere to privacy and confidentiality protocols. Assist in coordinating meetings, preparing meeting materials, and maintaining office supplies. Perform other general administrative and office duties as required. About you: Previous experience in an administrative or office support role. Strong attention to detail and a commitment to accuracy. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software. Excellent communication skills, both written and verbal. Strong organisational skills, with the ability to manage multiple tasks simultaneously. Office etiquette, a professional approach, and an understanding of how a corporate environment works. Exceptional time management skills, with the ability to prioritise tasks effectively. Willingness to learn, be proactive, and take on new challenges. Ability to multitask and take instruction from multiple staff members. A team-oriented mindset, with the ability to collaborate across various departments. Professionalism, discretion, and a strong work ethic.
