Purpose of Role: The Night Manager is responsible for providing efficient, prompt, trouble-free, courteous service, and security to guests during the night in the absence of departmental managers and limited staff. This role involves supervising and coordinating night shift activities at the Front Office, acting as a liaison for guests to ensure efficient, prompt, courteous, and proactive service. The Night Manager's primary goal is to maximize rooms revenue and guest satisfaction. The successful candidate should be well-versed in Front Office operations, familiar with the hotel's capabilities and limitations, and possess a comprehensive understanding of all aspects of hotel management. Main Duties Include: Customer Service and Safety: Assume overall responsibility for customer service, fire safety, and health & safety during the night. Manage late check-ins and early check-outs, ensuring smooth transitions for guests. Maintain the security of the building and prioritize guest privacy and safety. Control the switchboard and maintain the fire register. Oversee night porter duties, offering assistance when necessary. Post relevant F&B bills and handle cash transactions. Foster a strong customer service ethic among all staff. Manage guest relations and address their needs promptly. Health & Safety: Ensure overall health & safety at night, including fire walks, security checks, and first aid. Conduct security checks throughout the hotel building, collecting room service breakfast cards. Promote energy conservation by turning off unnecessary lighting, fans, and heating. Maintain an effective working relationship with colleagues and managers. Receive and prepare light refreshments for guests' rooms and the lobby. Carry out cleaning duties in various areas of the hotel. Handle wake-up calls and assist in restaurant/bar/lounge operations when required. Respond to telephone and guest inquiries promptly. Assist with meeting room setup and service as needed. Represent the company professionally and assist other departments as necessary. Ensure cleanliness and tidiness of all areas, dispose of waste appropriately, and arrange furniture as required. Secure meeting rooms and report maintenance issues. Management and Administration: Lead and develop the Night Porters team, preparing them for career advancement. Contribute to the strategic management of the hotel. Conduct job chats and performance appraisals. Report staff-related issues to the General Manager and participate in disciplinary procedures. Maintain and record training records in a timely manner. Follow procedures for expenditure requests. Create weekly rosters for the night porter team in line with departmental budgets. General Responsibilities: Ensure adherence to cash handling procedures and daily sign-in/sign-out sheets. Implement the hotel's customer relations policy. Promote hotel facilities to guests. Maintain personal hygiene and departmental standards. Assist in achieving high inspection results from relevant industry bodies. Demonstrate flexibility in job responsibilities and inter-changeability with other roles. Fulfil health and safety obligations and report hazards or incidents promptly.
