Reporting to the Senior Sustainability Advisor & Assistant Company Secretary, the Administration Assistant - Governance will provide a wide range of Governance and Administrative support services to the team and across the business.
This role can be offered on a part time (20 hours a week or more) or full time basis depending on the candidate.
What you'll do: Provides high quality administrative assistance, assisting the Senior Sustainability Advisor & Assistant Company Secretary in preparing a variety of Governance and Board reporting documents.
Liaise with internal and external stakeholders as necessary to gather content and information for Board reports and providing information to other departments as required.
Coordinate and manage the Board and Board committee meeting calendar, including scheduling and rescheduling as required.
Includes meeting invites, agendas, standing items, briefing papers, resolutions and presentations.
Assist in managing attendance records for Board and Board committee meetings and assist with follow-up of matters arising.
Implement methods for document storage, retention and retrieval for Board and governance documents to ensure easy access and compliance with legal and regulatory requirements.
Maintain the corporate company registers, ensuring they are updated and complete in compliance with legal and regulatory requirements.
Provide general administrative support as needed such as handling correspondence, preparing briefing papers and reports, updating and maintaining governance documents.
What you'll bring: 3 -5 years relevant experience in reception and administration preferred Experience with annual reporting desirable Excellent verbal and written communication skills Excellent organisational and time management skills with the ability to multi-task and prioritise Demonstrated ability to build and maintain relationships with both internally and externally Ability to take initiative Ability to exercise discretion, confidentiality and sensitivity always Intermediate skills in Microsoft office suit (Word, Excel, Outlook).
