It is committed to excellence in the education of girls and to maintaining a safe and supportive environment for children and young people.Applications for the following permanent, full-time, term time (plus some school holiday weeks) are sought to commence in July 2024.School Officer – AdministrationPermanent Full Time, Term Time Plus38 hours per week (7.30am-3.30pm)45 weeks per year (includes some school holiday weeks)The purpose of this position is being the first point of contact for students and to provide administrative assistance and support to the Head of Students, Assistant Head of Students and Pastoral Head of Year Team (Years 7-12), while attending to student absences.
This role works with another school officer in the same office, and the School closes for a 2 week period over Christmas.Key ResponsibilitiesAnswer incoming telephone calls, answering queries, taking messagesLiaise with teachers, parents and students, as requiredRespond to emails in a timely and efficient mannerHandle face to face enquiries and respond or redirect as appropriateConduct sign in and sign out duties, as requiredRecord all absences with reasons and produce reports for absenteesMaintain and update absence records in TASS and report to guardians through SMS, phone or emailProcess all Camps and prepare all documentation including medical formsAttend to the lost property function for Years 7-12Displays for noticeboardsHigh level administrative support to Assistant Head of Students and Head of Students, including drafting of correspondence, letters, screening calls etc.Diary entries for meetings and appointmentsPrepare and send all correspondence to parent and communityAdministrative support for Middle School and Senior School events e.g.
Parent Information nights, Graduation, Formal including the preparation of Power Points, Invitations, flyers and booklets, etc.Perform basic First Aid for students, if required, or refer to Health CentreSelection CriteriaSkills & AbilitiesMust maintain a high level of confidentiality with all mattersStrong commitment to our Anglican ethosDemonstrated strong administration skills; having the ability to work autonomously, with the need of minimum supervisionDemonstrated strong time management and organisation skills with the ability to work well under pressure and to meet deadlines; and be able to respond rapidly to changeDemonstrated strong computer skills in all Microsoft applicationsDemonstrated database experience in updating and retrieving data for reports (with excellent accuracy), preferably in TASS or similar systemStrong communication and interpersonal skills - both oral and written (ability to relate well on phone and in person with parents, students and employees at all levels of the School)Commitment to meet quality standards; and the willingness to update their skills and knowledge on a regular basisDemonstrated commitment to the pastoral care of studentsAbility to work in a team environmentQualificationsPaid Blue Card (Working with Children Check) or eligible to obtainAt least 2-3 years' experience in a personal assistant or senior administration role within a school environment, preferably in the secondary schoolExperience in Reception and front desk dutiesA formal qualification e.g.
