About the Role As a Property Contracts Administrator , you will play a vital role in overseeing the client's property journey from the moment their Expression of Interest (EOI) is signed through to contract unconditional, settlement, construction, and final handover.
You'll act as the central coordinator, managing communication with clients and working closely with trusted partners, including finance teams, financial planners, accountants, builders, and solicitors, to ensure smooth progress and timely outcomes.
In this role, you'll build strong relationships with clients and stakeholders, proactively facilitating outcomes to keep processes on track while ensuring a seamless experience.
Your focus will be on managing timelines, addressing obstacles, and ensuring all aspects of the journey are handled with precision and care, contributing to exceptional results for our clients.
You'll also work alongside a highly experienced Admin & Customer Support Officer who provides support with tasks such as coordinating handover inspections, post-handover client needs, and administrative duties.
The Admin & Customer Support Officer is available to assist with various aspects of the process, helping to manage the workload efficiently.
Key Responsibilities Contract Administration: Manage the issuance of property contracts from builders and land agents, and liaise with solicitors to ensure contracts are reviewed and explained to clients, with a primary focus on getting contracts to unconditional as fast as possible.
End-to-End Client Experience: Oversee the client's property journey from EOI to final handover, ensuring a seamless process at every stage.
Coordination with Partners: Work closely with finance teams, financial planners, accountants, builders, and solicitors to align timelines, address challenges, and facilitate outcomes that drive contracts to unconditional and settlement.
Build and Settlement Oversight: Monitor the progress of land settlements and construction stages, coordinating with builders and stakeholders to ensure timelines are met.
Handover and Client Support: Organise handover inspections, introduce clients to property managers, and coordinate post-handover introductions to accountants and financial planners to facilitate tax variation forms and depreciation schedules.
Client Relationship Management: Serve as the primary point of contact for clients, maintaining long-term relationships through phone, Zoom meetings, and email.
CRM Management: Maintain accurate client records and updates in the CRM system.
Stakeholder Collaboration: Work closely with the General Manager and two directors to deliver exceptional service and outcomes.
About You To excel in this role, you'll bring:
At least 2 years of residential construction contracts administration experience.
Exceptional organisational skills and attention to detail.
Strong communication and interpersonal abilities to liaise with clients and multiple stakeholders.
A commitment to delivering a seamless and exceptional client experience.
A proactive, solutions-focused mindset with the ability to manage timelines and prioritise tasks effectively.
Experience with CRM systems and maintaining accurate records.
