Job SummaryWe are seeking an experienced and driven Multi-Site, Multi-Service Practice Manager to oversee the operational and strategic management of multiple clinic locations, including our headquarters at Medsana Medical Clinic, our mobile service team at My Rehab Team, and our administrative team in the Philippines.
This position demands an adaptable leader capable of managing diverse services, supporting clinicians, and driving quality improvements.
Site-Specific ResponsibilitiesMedsana Medical Clinic (Headquarters) General Practice: Oversee AGPAL accreditation, coordinate quality improvements, submit Workforce Incentive Programme (WIP) and Practice Incentive Programme (PIP) data, and update fee structures.Paediatric Services: Collaborate closely with paediatricians to ensure efficient service delivery.Allied Health Services: Optimise clinic room use, streamline workflows, and enhance service processes.Facilities Management: Ensure the clinic environment is safe, organised, and well-maintained.My Rehab Team (Mobile Service) Strategic Planning: Partner with the Service Manager to drive efficient service operations across Brisbane, enhancing accessibility and patient satisfaction.Problem-Solving & Training: Communicate with the administrative team to troubleshoot issues and train the Manila-based Practice Manager to achieve AGPAL standards and be a profitable clinic.Charity Work: Help the Director direct funds strategically to assist those in need.
Work with a local Christian charity in Manila.Roster Support: Provide support staff for specialist rooms at Greenslopes Private Hospital.Key DutiesLeadership & Culture Development: Foster a supportive, high-performing work environment.Clinician Support: Manage queries from doctors, allied health professionals, and specialists.Patient Interaction Support: Assist medical receptionists with challenging patient situations to ensure positive patient experiences.Human Resource Management: Oversee HR functions for Brisbane and Philippines teams, including hiring, onboarding, and performance management.
Lead a diverse team, including senior and junior administrators supporting 37 clinicians.Basic Bookkeeping: Assist the Practice Accountant in financial administration.Practice Growth: Support the Director in growth initiatives and strategic planning.Team Meetings & Training: Conduct staff meetings, performance appraisals, and training sessions.Marketing Coordination: Collaborate with the marketing team and assist with website updates as needed.Skills and Experience RequiredExperience: Minimum 5 years of experience managing a clinic with GPs, specialists, and allied health professionals.Systems Proficiency: Proficient in Best Practice and Halaxy; knowledge of Automed, Medical Objects, PBX systems, Office Suite, Google Business, Signal, Trello, Tyro, and HICAPs is advantageous.Payroll & Rostering: Experience with Tanda and Xero for payroll and staff scheduling.Funding Expertise: Familiarity with troubleshooting Medicare, NDIS, DVA, WorkCover, STRC, Age Care Funders, and private patient funding issues.Qualifications: Business administration qualification or Diploma of Practice Management highly regarded.Why Join Us?At Freeway Family Doctors, you'll have the opportunity to lead a committed team across multiple sites and services, make a tangible difference in healthcare delivery, and work within a collaborative and supportive environment focused on excellence and innovation.
