Based out of our head office in Osborne Park, the role will be accountable for all facets of our national Projects requirements in administration support and database management, record keeping and reporting, for the mobilisation and coordination of large volumes of people to site. Key responsibilities include:Co-ordinate end to end mobilisation of personnel for all project sitesEnsure all mobilisations adhere and comply to Whittens Mobilisation Procedure and client requirements and ensure strict compliance of mobilisation documentationEnsure all 'non-negotiable' mobilisation requirements are met prior to mobilising personnel to siteManage the Mobilisation Master List for projects and ensure all data is accurate and up to dateAction mobilisations in accordance with required timeframesBook flights and accommodation in accordance with best fares available and with preferred suppliers and utilise credits where availableFor new projects, support with the development of site-specific procedures for mobilisation including appropriate project requirements are always adhered toConduct weekly mobilisation meetings with site teams to discuss upcoming mobilisations and project requirementsConduct mobilisation audits to ensure ongoing complianceDraft and issue employment contracts and position descriptionsBuild and maintain strong working relationships with the client, project Team and employees being mobilisedSupport the recruitment team with onboarding of personnel/subcontractors including booking medicals including coal board medicals, collating relevant induction, qualifications and ID requirementsAct as conduit between project team, recruitment team and mobilisation to ensure timely resourcing requirements are achieved in line with the programAttend project site visits as requiredProvide on-call weekend support where required during peak mobilisation periods and/or be willing to work on a roster pattern if required to meet project requirementsABOUT YOU:At least 2 years' experience in a fast-paced Mobilisation role within the Construction, Mining or Resources industryHigh attention to detail and data accuracyDemonstrated ability to develop Excel spreadsheets/matrixes and utilisation of various databasesStrong customer focus with the ability to maintain confidential informationOutstanding interpersonal skills including excellent listening, written and verbal communication skillsAbility to quickly respond to situations as they arise and work under pressureAbility to work to tight timeframes and willingness to support the broader Human Resources teamSelf-motivated and able to use initiativeWhat we offer:Whittens are committed to investing in our people, offering learning and development opportunities to build on the skills and experience you bring.
