RoleMonday - Friday 8:15am-4:21pm - The position will receive an additional proactive responsibility to be decided after appointment of successful candidate. Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will usually impact beyond the work area or professional field. It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs.
Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy. Deviation from standard procedures and school policy will require guidance and direction from senior management.
The provision of business management responsibilities becomes a feature at range 3. Management of staff to achieve the expected outcomes is a key responsibility. Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases. Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations.
This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years. Professional student support positions become a feature at range 3 (e.g. therapists, psychologists) where standard professional services are delivered. Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management.
An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee's position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.
ResponsibilitiesThe Mini School Administration Assistant will undertake a range of tasks to support the effective running of the Junior and Middle School Teams at Elevation Secondary College.
The Mini School Administration Assistant will work directly with the Junior and Middle School Leading Teachers, Year Level Coordinators, students, teachers and families to create an effective learning environment.
The Mini School Administration Assistant will undertake the following tasks among others:
Coordination Assistance
- Phone support for the mini school, including receiving incoming calls, initiating contact on behalf of the coordination team, taking messages and problem solving.
- Helping coordination team to manage online calendars, booking parent meetings, interpreting service etc.
- Monitoring late arrivals, uniform, detentions. Assisting with write-up of these on Compass.
- Attendance for mini-school. - phone calls, monitoring of long term absences for coordination team to follow up.
- Signing in and out loan school uniform items. (spreadsheet for stocktake)
- Collection, collation and uploading of important educational and health documents such as cognitive reports etc. from primary schools and parents.
- Collecting data on individual students such as "teacher feedback" type forms midterm or as required.
- Producing various Compass reports for members of the coordination teams to assist.
- Aspire points, end of semester Awards data etc.
- Opening and locking buildings and toilets.
- Issuing uniform passes and upload to compass.
- Photocopying reflection sheets, goal booklets, uniform passes, detention slips, etc.
- Provide assistance to coordinators with information for the follow up of detention nonattendance.
- Helping coordination establish and maintain systems to track consequences, uniform, daily rolls for detention and follow ups, weekly lates reports, etc.
- Filing/scanning student reflection sheets.
- Photocopying/printing Personal Development or Mentor Group related work.
- Organise stationery and materials for groups of students as required by coordination team.
- Issuing detention list to Coordination.
- Copying and supply of detention work.
- Chasing up students not in class but onsite.
Supervision of Students
· Provide supervision for Academic Catchup.
· Provide supervision for exited students from classes.
· Provide supervision for students on internal suspensions.
· Study centre backup supervision.
· Provide supervision for SAC Catchup & detentions.
Student Services
· Maintain student padlock register.
· Upload padlock info on student profile.
· Maintain student locker allocation and upload to Compass.
Attendance
- Calling home for students with consistent late arrivals to class.
- Referring problem attendance to coordinators/wellbeing.
- Making phone calls homes each day for non-attendance.
- Chase up teacher to mark all rolls every session in timely manner.
- Ensuring correct data entry of attendance into relevant computer systems.
- Following up with staff members to ensure accurate attendance data.
- Fortnight meetings with DO with regards to unexplained absence letters.
- Student medical certificates scanned and uploaded to Compass.
Financial Assistance
- Assist mini school teams with organise of events on Compass.
- Follow up payments and permissions for events, excursions.
- Coordinate ordering of stationery supplies.
- Assist teaching staff with obtaining quotes for larger purchasing requests.
- Assist mini school staff with maintaining and adhering to budgets.
Teacher Assistance
- Regularly communicating with teachers regarding students who may require outside class assistance, time out etc.
- Seek assistance from appropriate teaching staff for student behaviour issues.
- Assist with interpreter bookings for coordinators.
- Interpreters bookings for Student Learning Conferences.
Admin Assistance
- Collecting students from classes for the coordination team.
- Collect students from classes for early pick ups.
- Assisting students in the mini school with locker related issues, locker codes etc.
- Ordering of teacher stationery requirements.
- Any other duties as required by Principal, Assistant Principals or Business Manager.
