Administrative Assistants (Administration & Office Support)

Position Overview: We are seeking a dedicated and detail-oriented Fleet and Facilities Administrator to support the efficient and effective operation of our fleet management activities as well as our facilities management tasks. This dual role requires you to be professional and adaptable, coordinating various administrative functions related to compliance, vehicle acquisition, maintenance, scheduling, as well as overseeing facilities operations to ensure a safe and productive work environment.
Key Responsibilities: Fleet: Ensure compliance with all relevant regulations including NHVR (National Heavy Vehicle Regulator) & Mass Management and Main Roads (WA) Compliance. Manage and coordinate vehicle acquisition and disposal processes. Oversee maintenance schedules and ensure vehicles are in optimal condition. Maintain accurate fleet and asset records. Coordinate and liaise motor vehicle insurance claims. Facilities: Manage facilities operations, including maintenance, safety, and compliance, including preventive maintenance schedules. Coordinate with service providers for repairs and maintenance of facilities. Process quotes and work orders whilst managing facility-related expenditures. Ensure that the workplace environment is safe and efficient. About you: Previous experience in fleet management and facilities administration is preferred. Strong organisational and multitasking skills. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office Suite. Detail-oriented with a commitment to accuracy and compliance. Professional demeanor and adaptability to handle varying responsibilities.
