Administrative Assistants (Administration & Office Support)Salary: $75,000 – $80,000 per year pro rata (+SGC super)The Member Services Officer is a new key support role for the AHISA team located onsite at the national office in Campbell ACT. The role is responsible for managing membership processes within the association and providing exceptional first-point customer service for members. The role also includes a range of administrative tasks that support the national office team.The position is part-time (.6 FTE) spread over 4-5 days, with the possibility of more hours during peak conference or project delivery times.Specific DutiesThis position reports to the Chief Operating Officer. The duties and responsibilities include:Membership ManagementManage membership enquiries, providing guidance and advice to those interested in joining the association.Manage the application process for new members, including necessary follow-up.Manage subscriptions and renewals for all member categories.Action membership activations and deactivations as required.Undertake project work in respect of membership initiatives as requested by COO or CEO.General AdministrationOversee general enquiries (phone or email) and direct to relevant team members as necessary.Manage correspondence and communications received.Proactively maintain email distribution lists (currently Google Groups and Constant Contact).Undertake specific administrative projects as directed.File and archive administrative records.Liaise with contractors and suppliers as requested.Liaise with stakeholders as requested.Assist with e-newsletter and board e-bulletin production as requested.Receive visitors.Website and DatabaseUpdate database and website as required.Work with COO and Communications Coordinator to maintain integrity of database.Conferences and EventsAssist with conference preparation and delivery of conference logistics.Attend conferences as required (some travel and weekend work may be required).Under COO's direction, manage the building of online registration portals for branch events and provide regular reporting as requested.Support Chief Executive Officer and Chief Operating OfficerArrange travel and accommodation reservations for AHISA related travel.Proofread and format documents.Other duties as requested.Skills and AttributesConfident and competent user of Microsoft Office suite including Outlook, Excel, and Word, along with web platforms (such as Humanitix and iMIS).Flair for organization and attention to detail.Excellent written and oral communication skills.Ability to show initiative and a 'can-do' attitude.A collaborative and consultative team member.Ability to work independently in a small office environment.Professional personal presentation.RequirementsExperience in a member-based association and/or aligned experience to the role.Tertiary qualifications in relevant fields highly regarded.Willingness to undergo a criminal record check.ApplicationsThis role will be based in the AHISA national office in Campbell ACT and will commence in January 2025.Applications addressing your suitability against the duties, desired skills & attributes, and position requirements, along with a supporting CV, are to be forwarded to Kira Grantham via email: (email protected)Applications close: 5pm (ADST), Wednesday 27 November 2024.
