About the Role The Medical Workforce Coordinator is responsible for providing efficient and effective administration services to the functions that support the Medical Workforce Unit, including:
• Junior Medical Officer (JMO) recruitment, training and education, rostering, payroll and on-boarding
• Supporting the delivery of clinical services across the hospital and liaising with key stakeholders at NBH, NSW Health and Healthscope.
You will play a vital role in ensuring the efficient and effective operation of our medical workforce. This position reports directly to the JMO Unit Manager, and works in collaboration with the Medical Workforce team.
Key responsibilities: Administer JMO rosters, ensuring that rosters are equitable, cost effective, best roster practices are followed and additional rostered/unrostered overtime is managed accordingly.Manage the payroll system for JMOs including data entry and verification of rosters, ensuring staff are costed correctly, and overtime, callbacks and adjustments are entered correctly.Coordinate JMO recruitment, on-boarding and credentialing, and manage JMO recruitment/rotation processes for Healthscope, collaborating with the Northern Sydney Network, business units, and secondment sites as required.Provide a broad range of administrative support, including preparing reports, newsletters, correspondence, meeting papers and audits (mandatory training, AHPRA, Visa, WWCC, Safe Working Hours, UROC).Assist with junior and senior medical staff enquiries, orientation and wellbeing by providing timely advice, support and guidance as appropriate.Maintain comprehensive knowledge of relevant industrial awards, legislatives requirements, and policies and procedures at a local, district and State level.Contribute to the overall strategic direction of the unit, and achievement of key performance indicators, planning and implementation as required. Minimum Requirements: Relevant tertiary qualifications and/or relevant equivalent work experience, ideally in a Medical Workforce or hospital setting.Strong interpersonal skills and the ability to collaborate effectively with the Medical Workforce Unit Manager, and team members.Demonstrated ability to take initiative, work independently, and learn quickly.Proven ability to manage workload in a high volume environment, with competing priorities, requiring high level analytical skills and high level of attention to detail.Proven ability to liaise with and build rapport with a diverse range of staff whilst maintaining confidentiality and exercising discretion.Demonstrated excellent written and verbal communication skills and interpersonal skills.Demonstrated proficiency in the use of Internet, e-mail technology and MS Office applications and experience in the use of complex electronic/software systems and applications.Demonstrated knowledge of roster and/or payroll processes and practices with the ability to interpret employment conditions and awards for medical staff.Demonstrated knowledge of recruitment and remuneration processes and practices with the ability to interpret employment conditions for medical staff. To be successful in the role you will:
• Prioritise effectively and function in a busy teamwork environment to meet deadlines;
• Have experience in a similar unit in the public or private sector;
• Demonstrate knowledge of computer applications including but not limited Microsoft Office and the Internet/Intranet
• Demonstrate knowledge of, or proficiency to learn a Payroll software package and credentialing software
• Liaise with and develop positive working relationships with internal and external stakeholders
• Demonstrate knowledge of, or proficiency to learn medical terminology
• Ideally have HR, Payroll or Recruitment experience relevant to the role
• Handle sensitive matters with discretion and maintain a high level of confidentiality
