JOB ID: 1792 SOUTH-EAST LOCATION MEDICAL ADMINISTRATION OFFICER PERMANENT PART TIME COMMENCE FEBRUARY 2025 Our client is a busy, yet calm and serene Psychology practice that takes pride in providing professional therapy services to valued clients and maintaining a vibrant, safe, and supportive work culture, within a small team.
They are seeking an experienced Medical Administrator to commence in February 2025.
Working within a team, you will be the first point of contact, ensuring patients always feel welcome, comfortable, and treated with the utmost respect.
Providing administration/reception support for 20 consulting sessions per day, consisting of 4 psychologists and 2 occupational therapists.
The successful candidate will enjoy working in this highly professional and efficient practice and be ready to assist with the smooth day-to-day running of the clinic.
Days and Hours: Wednesday/Thursday/Friday: 9 am – 5.15 pm, with the flexibility to cover leave.
Duties: Welcoming clients and checking them in for their appointments.
Providing administrative assistance to the therapists.
Making and answering phone calls.
Managing and responding to emails and faxes.
Scheduling, rescheduling, and cancelling appointments.
Ensuring the clinic and rooms are clean and presentable throughout the day.
Taking payments through our HICAPS machine and following up outstanding accounts Scanning, uploading, and filing case notes and documents.
Tracking appointments under Mental Health Care Plans and managing feedback letters.
Managing and responding to client enquiries Completing intakes for new clients.
Running general errands when necessary (banking, shopping, stationery, etc.).
Managing and restocking office supplies.
Essential criteria: A friendly, presentable, and professional manner.
Previous experience in a medical or allied health role is essential Empathy, patience, and understanding.
Organisation, reliability, and attention to detail.
The ability to work both autonomously and within a team.
The ability to multitask in a fast-paced environment Time management and ability to prioritise workloads.
Excellent written and verbal communication skills.
General understanding of Medicare, NDIS, and private health.
General knowledge of Mental Health Care Plans.
The ability to communicate professionally with colleagues and clients of all ages.
Understanding and adherence to clinic policies and procedures.
Always maintaining client confidentiality.
Strong computer skills (we use an Apple iMac).
Capability of learning and adapting to new processes.
Current Working with Children's Check and Police Check.
