The position Reporting to the Assistant Manager, Marketing and Communications, the role sits within the External Relations section, which drives the Gallery's brand, marketing, media, corporate partnerships, advertising, social media, publications, philanthropy, design and merchandise.
The occupant of this role provides support and administration to the External Relations section across a range of key activities including invoicing, site access, data entry and other administration as required, as well as contributing to marketing and communications events and activations.
To be successful in this role the occupant will be personable, possess the ability to represent the Portrait Gallery to external stakeholders, and have an interest in the cultural sector.
They must also demonstrate sound organisational and communication skills, the ability to handle competing priorities, be proficient in data entry and demonstrate a high degree of accuracy and attention to detail.
Specific Tasks Provide general administrative support to the Communications and Marketing team including media monitoring and tracking Partnership benefits.Process invoices and assist with tracking expenditure against the budget.Manage travel arrangements and hotel bookings.Assist with exhibition launches and other marketing events.Support the Manager, Publications, with managing merchandise orders and invoicing.Provide additional administrative support for peak workloads as required.Contribute ideas and assist in the planning and execution of marketing and media events.Selection Criteria Sound written and oral communication skills with the ability to engage effectively and professionally with external stakeholders.Demonstrated high-level computer skills in MS Office products and experience in, or the ability to learn, the effective use of a Customer Relationship Management system.Excellent interpersonal skills with a strong customer focus, and the ability to work independently and as part of a team in a fast-paced environment.Ability to manage, organise and prioritise work to meet deadlines.Demonstrate sound judgement acting with integrity and discretion when required.Applicant information In no more than two A4 pages, please tell us how your skills, knowledge, experience and qualifications make you the best person for this job.
