About the role: As the Loan Vehicle Fleet Administrator, you will manage Mazda's loan car fleet, coordinating with dealerships, ensuring compliance, and delivering excellent service to our customers. Your role is key in overseeing fleet logistics, documentation, and fleet maintenance, supporting our customer-first approach, and contributing to the department's success.
This position requires a full-time, in-office presence five days a week, fostering a collaborative work environment and promoting effective teamwork.
Key Responsibilities: Fleet Coordination: Manage the distribution and tracking of Mazda's loan car fleet, ensuring availability and efficient delivery of vehicles to dealerships and customers.Customer and Dealer Support: Provide exceptional service to both customers and dealers, arranging loan vehicle agreements, and ensuring smooth vehicle handovers and returns.Documentation and Compliance: Oversee the accuracy of all loan car paperwork, including the timely processing of fines, tolls, and insurance claims, and maintain records for compliance.Fleet Maintenance and Repairs: Approve and manage maintenance or repair actions required to keep the loan car fleet in top condition and fit for use.Forecasting and Lifecycle Management: Assist in forecasting fleet requirements to support vehicle ordering and manage the fleet's lifecycle, including preparation for auction.Continuous Improvement: Review and enhance processes to improve efficiency and customer satisfaction.In addition to the above responsibilities, the role involves providing general administrative support and tasks for the Vehicle Operations Team.
About you: You will bring demonstrated experience in customer service, particularly in managing complex and sensitive customer issues with empathy and professionalism. Your ability to effectively coordinate and prioritise multiple, time-sensitive tasks is key, as is your strong organisational skill set. Ideally, you have prior experience in fleet management, including aspects such as forecasting, vehicle ordering, and lifecycle management.
With strong communication and interpersonal skills, you excel in collaborating with customers, dealers, and internal teams to deliver high-quality service. Analytical thinking, problem-solving capabilities, and attention to detail are essential to ensure compliance and accuracy in all documentation and reporting.
Proficiency in Microsoft Suite at an intermediate level rounds out your skill set, enabling you to effectively contribute to Mazda's commitment to outstanding service.
