About Our ClientThe client is part of the public sector.Job DescriptionProvide all necessary administrative support to the Content Team (Legal) & broader Legal Team as required including routine correspondence, diary co-ordination and management, leave calendar, e-filing, liaising with external firms for monthly accruals, and processing invoices, personnel matters, assisting with recruitment, payment requests and cab charges, booking and coordinating meetings and travel, taking minutes as required, and acting as a point of contact for the Team.Work across the Legal team as and when required.Manage Head of Content (Legal) inbox, and triage and file accordingly.Monitor various inboxes, review new instructions, triage work requests and liaise with stakeholders and lawyers.Open and close matters according to Legal's processes.Assist with documents as required including preparing drafts, arranging for execution, distribution to stakeholders, assisting with presentations in powerpoint or equivalent, and updating precedents.Undertake title searches.Collate Weekly Highlights for Content (Legal) team and broader Legal Team.Liaise with IT on technical issues for team.Assist with maintenance and update of Content (Legal) intranet information.Track Content (Legal) team's CPD events and upload papers as required on centralised internal system.Undertake basic research as required.Assist in the development of, and keep updated, a suite of standard form basic agreements (e.g.
confidentiality agreements, MOU, independent contractor agreements, etc)Assist with Contract Express and document automation by undertaking basic coding and updating questionnaires.Assist with developing and rolling out training across the firm on use of Contract Express and provide support to usersMaintain a repository of all contracts created and entered into using Contract Express and consider interface with other systems, eg, ProcureHub.Input and maintain data relating to legal matters using the firm's Legal document and matter management systems, and publish reports as required.Collect data on legal practice as required.Assist with the roll out of training across the the firm on use of Docu-sign or equivalent and provide support to users.Assist lawyers with legal trainingAssist with prepublication hotline as required.Work collaboratively both within the Content Team (Legal) and more broadly, across the Legal TeamMaintain regular and effective communication with all stakeholdersActively promote the firm's values and apply all relevant workplace policies and guidelines.Cooperate with any reasonable instruction, procedure or policy relating to safety and take reasonable care for your own safety and that of other people who may be affected by your conduct while at work.
Additional WHS responsibilities apply to Managers and Supervisors, Team Directors, and other Officers.The Successful ApplicantExperience in a legal environment preferred.Demonstrated expertise in records, data and office management with the proven ability to maintain and update records, databases, filing systems, and to administer and reconcile invoices, travel, payments requests and cabcharges.High-level communication and presentation skills both written and verbal: ability to liaise with people at all levels and to foster internal and external client relationships.Demonstrated ability to prioritise and manage workflow and output while maintaining close attention to detail and timely completion of work.Demonstrated ability to undertake research as required and draft correspondence and reports clearly and accuratelyDemonstrated ability to apply initiative and work effectively with routine direction in a team environment.Proven ability to exercise discretion and maintain confidentiality of information.Proficiency in the use of a range of applications including Microsoft and iManage products and relevant systems.
Proficiency in Contract Express desirable.Demonstrated team player including ability to support others when required.
