The opportunity
We are currently seeking a talented
Legal Administrative Assistant
to join our Melbourne office on a 12-month fixed-term contract, with the potential to transition to a permanent position.
We are looking for an organised and proactive
Legal Administrative Assistant
with 4+ years of experience, including exposure to litigation, to provide critical support to our partners and legal teams.
This is a fantastic opportunity for a motivated individual to join a fast growing and down to earth law firm and contribute to its success, with the potential for the role to become permanent.
Responsibilities
Conduct conflict checks and open new matters in the firm's claims management system.
Prepare and issue Master Cost Agreements, and liaise with the Pricing Committee and Operational Accounts.
Track client deadlines and ensure compliance with service level agreements (SLAs).
Diarise court dates and draft legal documents, including subpoenas and appointment letters.
Maintain file hygiene in the firm's claims management system and iManage.
Monitor partner emails and anticipate their needs.
Use Aderant to check billed figures, WIP, disbursements, and payment of invoices.
Collate documents for instruction letters, prepare trial materials, and obtain Counsel and expert availability.
Assist with diary management, meeting arrangements, and travel bookings.
Format and finalise documents, ensuring accuracy and compliance with firm standards.
Input leave requests into Aderant and manage trust queries in collaboration with the Operational Accounts Team.
Identify matters for billing, email invoices to clients, and ensure accurate record-keeping in the firm's document management system.
Who are you?
Experience:
4-5 years in a legal administrative role, with some exposure to litigation.
Technical Skills:
Proficiency in MS Office and legal software applications (Aderant experience preferred).
Organisational Skills:
Strong time-management skills, with the ability to work proactively and anticipate needs.
Attention to Detail:
Meticulous in managing documents and client reports.
Communication:
Excellent verbal and written communication skills, with the ability to collaborate effectively in a fast-paced legal environment.
