Due to a consistent and steady rate of company growth, resulting from existing and newly awarded work, we have a requirement for a Junior Project Administrator to join our Malaga office in Perth on a Full-Time basis.
Working closely with Project Administrators and Management to administrate the daily logistical requirements of projects from Quote to Invoice while utilising the necessary operational support.
Reporting to the Project Administration Lead.
Main responsibilities include but are not limited to: Liaising with Project Admins and Managers on the logistical requirements for current and new projects ensuring that our systems are correctly set up from Quote to Personnel and Equipment on Site to the Final Invoices to our Clients.Administering all personnel site requirements including inductions, travel, training, medicals and client documentation/systems.Approving Time and Expenses relevant to the project you are administrating.Attending to customer queries and requests while ensuring the clients' requirements are met.Ensuring project documentation is filed and accessible at all times.Ensuring project documentation is maintained for all monthly reporting.Maintaining training and competency records.Ensuring all resource scheduling is current and accurate.Maintaining various registers and spreadsheets appropriate for each project.Purchasing materials for internal and external projects including raising purchase orders.Utilising operations support to ensure smooth operations within the projects you are administrating.Providing support and advice for all staff and managers in a productive and professional manner.Any other ad-hoc duties as assigned by your Line Manager.Experience, skills and qualifications: Desirable, but not required, previous Administration Experience.Proactive and well organized.High attention to detail.Ability to self-organise with flexibility to complete tasks to deadlines.Ability to work as part of a team.Ability to work to strict deadlines.Friendly disposition and good attitude.Excellent verbal and written communication skills.Experience in Microsoft Office Applications (Outlook, Excel, Word).This is an excellent opportunity to expand and share your knowledge and to work with a well-established team of industry professionals.
