Job Title: Project AdministratorWe are seeking a highly skilled and experienced Project Administrator to join our team at JDL Strategies.
About the Role:The successful candidate will be responsible for managing, developing, reviewing, and negotiating variations to contracts, programs, projects, and services. This is a full-time ongoing position working 38 hours per week based in Bundall, QLD.
Key Responsibilities:Coordinate and support project management, including preparation of project plans, master schedule maintenance, preparation of high-level briefings, and project status reports.Ensure project documentation remains accurate, complete, and updated.In charge of budget management and all financial aspects of the project.Coordinating process records such as filing systems, project meetings, ITIL processes, etc.Develop and coordinate projects KPIs.Schedule meetings with clients, stakeholders, internal departments, and create/maintain project schedules, risk, and problem records.Create and update project progress reports regularly to identify issues, benefits, and learning's, advising on next steps.Coordinate and ensure the successful implementation of improvements within time, cost, and quality standards of the company.Track project tasks completion using control tools such as Microsoft Project, Excel, Microsoft Teams, and Trello board.Manage and monitor team members, including external suppliers and overseas teams.Maintain good communication to maintain an adequate relationship with everyone involved in work activities and projects.Ensure compliance with all policies and procedures.Ensure efficiency in operations.Analyze project requirements, define scope, analyze project feasibility, and documentation, develop project plan, prepare reports for all stakeholders.Manage internal teams and third parties, defining roles and responsibilities and coordinate the project from start to finish.Meetings with client and work teams to ensure project efficiency.Provide daily support to the project team.Oversee work performed by contractors such as Akhora (Social Media Agency), Innovate Solucoes digitais (ADS Traffic) and Wealthgoal Developers and report on variations such as deadline, service quality, and budget control.Presents the project to internal and external stakeholders, negotiating deliverables, responding to inquiries, and resolving problems concerning delivery of project.Develop, review, and negotiate project variations, advising company Founder and CEO Julio De Laffitte on issues that require his attention regarding agreed decisions.Project strategy, planning, reporting, and mitigation of project risks and issues.Requirements:Relevant Diploma or higher, and a minimum of 3 years of work experience.Excellent written and verbal communication skills;Ability to work positively in a team environment and demonstrate a "can do" attitude;Superior attention to detail;Ability to work unsupervised and under pressure.Compensation:Annual salary between $75,000 to $85,000 (plus superannuation) depending on level of experience.
