This is part of the application process.Job DescriptionThe IT Operations Intern will play a key role in supporting the TechEx team's daily operations, focusing on maintaining and enhancing the efficiency of technical processes and project activities across both the Sydney office and the broader teams in Australia and Singapore. The intern will gain valuable hands-on experience in technical support, asset management, and workflow automation, with opportunities to contribute to team projects and IT initiatives.Shadow the TechEx Team: Work alongside the TechEx team to gain firsthand experience in troubleshooting and resolving technical issues, learning best practices in customer service and problem-solving.AV Equipment Setup: Assist in setting up and testing audiovisual (AV) equipment in meeting rooms and event spaces. Ensure that all devices are properly configured and functioning ahead of any scheduled meetings or presentations.Issue Resolution: Actively engage with the team to address technical challenges as they arise, contributing to quick resolutions and documenting solutions for future reference.Meeting Room Management:Regular Inspections: Conduct routine checks of the six meeting rooms in the Sydney office to verify that all AV equipment, cables, TVs, and other technical assets are in good working order.Reporting and Troubleshooting: Document any issues encountered during inspections and coordinate with relevant team members to ensure timely repairs or replacements.Optimization: Recommend improvements or upgrades to the meeting room setups to enhance functionality and user experience.Power Automate and Workflow Assistance:Workflow Development: Collaborate with the team to design, develop, and refine automated workflows using Power Automate, enhancing efficiency in day-to-day operations.Documentation and Guides: Create and update comprehensive guides and documentation to help team members understand and utilize automated workflows effectively.Team Communication: Keep the entire team informed about updates and changes to workflows, ensuring smooth adoption and integration of new processes.Team Project Activities:Project Support: Participate in the planning, coordination, and execution of team projects, providing administrative and logistical support to ensure milestones are met on time.Documentation Management: Create and manage project-related documents, including project scopes, timelines, progress reports, and meeting minutes.Task Coordination: Work closely with project leaders to track action items, follow up on task assignments, and facilitate communication between team members.Asset Management and Governance:Asset Lifecycle Management: Oversee the entire lifecycle of IT assets, from deployment to disposal, ensuring accurate records are maintained at all stages.Inventory Audits: Conduct regular audits of asset inventory, comparing physical stock against records in ServiceNow to identify discrepancies or missing items.Device Wiping and Tracking: Assist in securely wiping devices returned from users, ensuring they are clean and ready for re-deployment or disposal.
