Over 70% of all funds under management (FUM) are managed in-house by our dedicated Investments team. The Role This Melbourne based role is accountable for providing administrative support to the wider Investments department and working closely with the EA to the Chief Investment Officer and Personal Assistants.
Furthermore, you will be in charge of coordination of diaries, monitoring appointment schedules and booking meetings and appropriate meeting rooms. Furthermore, you will coordinate all interstate and international travel for the wider Investments team.
On daily basis you will be:
Setting up for meetings rooms (providing water, tea, coffee for guests), including greeting of guests and ushering them to the meeting room. Ensuring dial in links are provided (for hybrid meetings) and appropriate testing has been conducted ahead of time. Providing transparency to concierge and Investment Support team by advising all meetings for the following day the evening prior. Providing back up support for Investments Legal Assistant on any executions as required. Processing of all purchase orders and invoices for the Investment department and working closely with the Finance team. Ordering investment provisions, including but not limited to business cards, name tags, stationary, catering and other miscellaneous items as required. Planning and coordination of various Investment social events. Processing onboarding of new starters and exits as required. About You A highly motivated individual with the ability to build high-trust relationships at all levels, you will quickly become a passionate advocate for UniSuper as an Employer of Choice and help challenge how we deliver on this. With demonstrated experience in administrative support, ideally within financial services, you will also bring:
Proactive mindset and the ability to take initiative. Outstanding organisational skills including an ability to set priorities and work to deadlines. Excellent oral and written communication. Maintains a professional appearance. Exemplary interpersonal and team-building skills. Excellent information technology skills including an understanding of smart phones, iPads and virtual hosting platforms, paired with Intermediate MS Office (Outlook, Word, PowerPoint, Excel). Ability to work independently and within a team structure and perform tasks as directed. High level for attention to detail. An ability to work within a commercially sensitive environment and maintain confidentiality. An ability to liaise in a professional manner with senior management and staff within UniSuper and external organisations.
