THE ROLE
Using discretion and judgement to perform a variety of sales support activities and administrative duties which may be complex in nature in support of the Sales & Relationship Management & Marketing teams in Melbourne and Sydney offices.
WHAT YOU WILL DO Perform a variety of administrative duties which may be complex in nature to assist Country Head/Senior Managing Director - Sales & RM. Communicate messages efficiently and check emails and update appointments regularly on the calendar throughout the working day.Utilise internal and external information sources and databases, including Rainmaker and eVestment, to help build the background information which feeds into client/prospect/consultant strategy papers and briefing notes.Monitor industry press for relevant pieces on clients, investment topics, and industry themes to ensure the sales team is informed. Work closely with marketing to manage New Articles spreadsheet. Maintain and update quarterly the Australian industry background paper for all global visitors.Assist in leave management, sales training, and internal/external conference (including updating the compliance training record) of the Sales & Relationship and Marketing teams.Responsible for booking international/domestic travel and visa arrangements for the sales team. Assist in all logistics regarding business trips (including itinerary background information, etc.) and conferences. Anticipate client and sales people's needs.Act as a primary resource in coordinating all details, logistics, and materials relative to institutional sales prospect meetings, finals presentations, client meetings both locally and overseas, update reviews, and due diligence visits, including pre-approvals when required. Under the direction of the Sales person coordinate follow-through on all problem resolution and information requests associated with the meetings.Manage non-product specific (e.g., Senior Management) roadshows according to the Roadshow Checklist document. This includes planning, scheduling, and hosting of prep meetings, material requests, prep notes, and ensuring all runs smoothly. Act as back-up for all product roadshows.Maintain and manage the speaker request log alongside the wholesale sales coordinator.Work with the relevant business units and RM or Salesperson to create, produce (print and bind), and distribute accurate, compliant, customized sales and marketing presentations and review books for the full spectrum of MFS products. Identify and correct data inconsistencies and recommend process improvements to increase efficiencies and improve overall service.Manage in-country transport for internal and external visitors related to sales roadshow obligations.Act as the liaison to obtain appropriate Compliance and Legal pre-clearance approvals on all gifts and entertainments and other relevant requirements in accordance to the policy for all client and prospect meetings.Utilize CRM database as a central resource to maintain and proactively track all appropriate upcoming meetings, calls, contacts, and activities within assigned coverage. Maintain accurate metrics/statistics around meetings identifying main trends and elevate any issues encountered regularly; generate regular and custom reports as requested.Perform regular checks to ensure new client data flows through properly to the CRM database and other appropriate systems.Compose, type, edit, proofread, and check reports, letters, and other documents which may be complex or confidential in nature.Act as back-up to the Office Assistant to ensure smooth and efficient office operations.Assist other teams within the department and perform additional duties as requested by the manager. WHAT WE ARE LOOKING FORAssociates' Degree or equivalent experience.Minimum of three to five years of experience in administration/coordination is preferred but it is not a prerequisite.Self-motivated and ability to take initiative.Strong organizational, interpersonal, and communication skills. Attention to detail.Strong computer skills including proficiency in Microsoft Office: Word, Excel, PowerPoint, & Access.Able to work within and enjoy a team environment.
