Primary Objective:
Under the direction of the Property Coordinator, provide high-level administrative support for asset management operations to enable the Department to meet its responsibilities and achieve its housing program outcomes.
This position is responsible for monitoring work orders to ensure work is undertaken by housing maintenance contractors in accordance with agreed timeframes, as well as processing invoices in line with relevant contractual obligations.
Context Statement:
The Housing Property Services Officer is the principal source of information and advice in relation to the implementation and management of asset maintenance work orders and invoices for Urban and Remote Public Housing, Government Employee, and Industry Housing.
Key Duties and Responsibilities:
Provide administrative support and advice by providing professional and timely responses to requests for maintenance and the raising of maintenance orders, using relevant business systems to ensure relevant program objectives are met.
Action timely payment of contractor invoices, ensuring accurate records are maintained to comply with departmental guidelines and contractual obligations, as well as relevant legislation.
Maintain and analyse records and provide detailed statistical and financial reports in relation to asset management works to supervisor and management on relevant activities.
Provide support in regard to activities relating to contract performance and contractual deliverables.
Provide supervision, operational support, and training to the Administration Support Officer (Assets).
Selection Criteria:
Essential:
Proven ability to work as a member of a team and independently with limited supervision.
Proven ability in ensuring accurate financial, contractual, and procurement processes and delegations are adhered to with full compliance, as well as sound experience in providing a high standard of service in administration, including record management.
Proven ability to plan, prioritise, organise, and manage multiple tasks, work under pressure, and deliver quality output within required timeframes.
Demonstrated experience in using a range of software and mainframe data systems including spreadsheets.
Sound experience in data analysis and auditing with the ability to prepare and maintain detailed accurate statistical and financial reports.
Demonstrated ability to negotiate confidently and communicate effectively including verbal, written, and listening skills, in particular with varying levels of stakeholders, including people from diverse cultural backgrounds.
Demonstrated ability to respond positively to change with a commitment to ongoing improvement.
