Working under general guidance and within set guidelines, you will be required to undertake a range of administrative tasks, assist senior employees with specific projects as directed and provide management support to administration employees and volunteers.
Managing the day-to-day operations of a busy reception, vehicle management, and building site maintenance/security as directed.
A key focus of this role is to ensure the provision of timely and accurate customer-centred support which enables Vinnies Housing to efficiently achieve desired outcomes across business operations.
This is a  Permanent, Part-Time Position (20 hours per week ) role based in South Brisbane Key Responsibilities Deliver high level administrative support to the Leadership Team and provide operational support to regional employees and volunteers Draft, prepare and coordinate high level communication including correspondence, submissions, reports and presentations, often of a complex or sensitive nature, for the Housing Leadership Team.
Provision of financial support to the team including the processing of invoices, receipts and reconciling all accounts daily Management of required database/s including data entry and oversight of data accuracy and associated compliance requirements Ensure all documentation is appropriately completed and recorded, for example rent calculations, reviews, bond lodgements, leases, routine and condition reports, consents and other documents as required Undertake the development and distribution of tenant information and resources Record all actions in our Client Management System, including documentation completed in a timely manner Draft and assist in the collation and/or distribution of online newsletters and surveys Support the transition of manual processes to automation/online processes Ensure that complaints and/or feedback procedures are adhered to, addressed, and recorded promptly in accordance with organisational policy and procedures, referring matters to the Quality and Compliance Lead as appropriate Undertake other duties, which are assigned from time to time by your Manager Comply with all WHS duties and responsibilities as a worker in accordance with the document WHS Directive: WHS Roles and Responsibilities and the WHS Act 2011 In all duties, comply with the behavioural expectations set out in the St Vincent de Paul Society Queensland Code of Conduct, and our policies and procedures To be successful in the role, you will meet the following criteria Minimum Certificate III in Business Administration or equivalent professional experience Extensive experience in a high-volume administration support role Microsoft Office suite proficiency with advanced aptitude in Word, Outlook and Excel, and online data management and record keeping tools.
