About the Role We have a number of positions available across our Supported Independent Living Houses in Darwin.
You will be supporting female participants with complex needs and high-level behavioural issues.
We focus on providing a human rights-based approach to person-centred care.
About this Role: The Systems Coordinator operates and manages the dedicated client management and incident systems hosted in CTARS.
The CTARS system is a specialised tool for delivering highly personalised care to persons living with a disability.
In particular, the CTARS system is a document and information management system for the day-to-day activity reports and logging by our employees with respect to participant centric care in compliance with NDIS regulations.
CTARS provides users with the most complete data to enable United NTDS to deliver highly targeted, client-centric solutions under the NDIS.
The Systems Coordinator is responsible for: Participant Shift Reporting and Logging
Manage the day-to-day activity and information logging by support workers into the CTARS system such as shift reports, logs, charts, and incident reports for participants cared for on shift.
Improve the customised templates in consultation with the Services Manager on what is recorded on progress notes, shift reports, logs, and charts.
Regularly communicates with employees in a systematic and efficient approach by electronically or in person on completion of CTARS, customised template improvements, hints and tippets for effective note recording and non-compliance reports for missing and incomplete notes.
Incident Report Monitoring and Compliance
Monitor incident management and assist the executives with investigations, and coordinate and manage the document life cycle for United NTDS ensuring alignment to NDIS standards and all regulatory requirements.
CTARS Audit Compliance
Researches, analyses, and audits the information entered into the licensing and compliance database to ensure that the system is being utilised correctly and captures the information required.
Conducts a systematic and regular audit of the quality and compliance of support workers with inputting the required data into the various reports, logs, charts, and incident reports for each participant cared for on shift.
Generates a regular progress report on support workers compliance with the CTARS activity logging and reporting required for each shift pursuant to the NDIS regulations.
Carries out a systematic follow-up process with support workers for non-compliance with the CTARS activity logging and reporting required for each shift pursuant to the NDIS regulations.
Regular Progress Reports on CTARS Compliance
Generates customised reports within the CTARS system for progress reports to employees, house coordinators and the Services Manager.
Provides regular progress reports to the Services Manager on system compliance with the NDIS regulations.
Conducts regular training sessions and produce useful guides for employees on accurately completing their CTARS notes, reports, and logs to ensure relevant information is being captured for our compliance and the right areas of care are being focused on.
Secure Document Management and Storage System
Creates in-depth participant profiles and managing participant documents in one secure location including plans, reports, letters, medication, schedules, photos, and videos.
In-depth profiles enable people-centric care focus whilst tracking and sharing progress.
Regularly responds to the Services team for assistance with the document management system to provide immediate updates about shifts and the participant's care needs such as behaviour charts, diet plan, care plan and so forth to enable quality care delivery.
Conducts a systematic and regular audit on each participant's full suite of documents stored within CTARS document management system.
Carries out a systematic follow-up process with the Services team to ensure participant information to be stored within the CTARS system and up to date.

Supports shared purpose and direction Thinks strategically and able to problem-solve Ability to understand and operate within the mission, vision, and values of the Company Eligibility Requirements Excellent communication, both written and verbal, and people skills Experience in the disability sector is an advantage Experience in data entry and formulating reports (including audit reports) Experience with managing audit and compliance systems Advanced understanding of CTARS client management system would be an advantage Competent to excellent use of Microsoft Office including Excel and SharePoint.
Relevant qualification in Business or IT studies would be an advantage Mandatory Documentation: Full Driver's Licence.
NDIS Clearance.
National Police Check dated within 3 months of employment.
Current First Aid and CPR Certificate.
