Role Purpose To lead and oversee the efficient operation of the Yarra Trams Project Management Office (PMO) across the project lifecycle, ensuring excellence in delivery.
This role contributes to the sustained growth and success of the Yarra Trams projects group by fostering a centre of excellence for portfolio, program, and project management.
It ensures value for money and the safe, reliable delivery of projects through the effective application of the Yarra Trams Project Management Information System (PMIS), Project Management System Manual, and associated templates.
Responsibilities and deliverables Project Portfolio Growth:
Develop long-term project pipeline forecasts and resource strategies.
Collaborate with stakeholders to create high-level estimates and programs for future works.
Team Leadership and Management:
Lead and manage the PMO team, providing guidance, coaching, and skill development.
Oversee team resource planning, performance, and PMO activities.
Project Management System (PMS) & Information System (PMIS):
Develop, maintain, and improve PMS and PMIS tools and procedures.
Ensure compliance with safety, risk, and asset management systems.
Support project managers with tailored PMIS guidance.
Portfolio Management:
Lead monthly governance forums and prepare detailed portfolio reports.
Oversee project risk management, status reporting, and pipeline maintenance.
Drive lessons learned and integration of PMO functions into PMIS.
Education & Training:
Train project managers in PMS/PMIS use and compliance.
Facilitate accreditation and host knowledge-sharing sessions.
Business Partnerships:
Act as the PMO's primary contact for internal and external clients.
Align project management systems with client lifecycles and deliverables.
Skills Proven team leadership and management skills to motivate and guide teams to meet deadlines and expectations.Expertise in leading a Portfolio Management Office across diverse projects and delivering successful outcomes.Strong stakeholder management with excellent communication and relationship-building skills.Effective under pressure, maintaining composure and fostering positive relationships.Advanced analytical, problem-solving, decision-making, and risk assessment capabilities.Skilled in summarizing complex issues for senior management and providing clear guidance.Strong organizational and project management skills, with the ability to train others in methodologies.Experience in business systems, process improvement, and achieving efficiencies.Proficient in Excel, SharePoint, and project management software systems.Experience Relevant tertiary qualifications in project delivery, business processes, or engineering.10+ years of experience in delivering portfolios, programs, or projects.Expertise in managing complex Portfolio Management Offices aligned with best practices.Leadership experience in government, infrastructure, or public transport sectors.Proficiency in resource, schedule, and budget management across multiple projects.Skilled in cross-functional collaboration within complex corporate environments.Strong experience in risk and issue management, including sensitive and high-profile matters.AIPM, PMI, OGC certification, or equivalent.Proven ability to develop project management skills in others.Why Yarra Trams?
