We are looking for a Head of Facilities to join our team based in Tamworth.

Due to recent growth this is a newly created role to support and oversee facilities, purchasing and QHSE. It is an office based only role Monday - Friday 08:30 - 17:00

Duties

As Head of Facilities you will be a pivotal member of the Senior Leadership Team, the Head of Facilities plays a critical role in maintaining our site(s) to an exceptional standard. The role oversees specialist teams in the management of supplier performance and QHSE compliance to ensure the highest of standards and services are achieved.

Facilities
• Full facilities management including overall responsibility for supplier/sub-contractor selection and management (e.g., cleaners, external gardeners, window cleaners, painting and decorators, utilities, lifts,
building security, vending machines).
• Attend Birch Coppice site meetings as required.
• Coordinate, review and negotiate Insurance matters, ensure that the business is adequately covered by relevant insurance policies.
• Are fully accountable for site security.
• Full Vendor management including negotiating trading agreements frameworks and SLA's that meet the business strategy.
• Oversee purchase, maintenance, and sale of the company car fleet.
• Ensure any accidents that could have legal implications are recorded and documented to mitigate future claims against the company, actively pursue the recovery of insurer payouts.
• Management and monitoring of fuel card usage.
• Oversee phone lines, broadband and mobile phones costs.
• Build relationships with suppliers, oversee the completion of all admins involved within the order process and resolve queries.
• Undertake duties in accordance with all relevant management systems legislation and controls.
• Own and evolve the Instarmac Sustainability Policy to meet government targets on decarbonization and net zero targets.
• Maintain & reduce budgetary expenditure and generate cost savings without compromising service and quality.
• Analyse risk in supply chain and ensure alternative suppliers are in place and relevant.
• Work closely with other department heads on product development initiatives including identifying innovative developments, seeking cost efficiencies and ethical raw material sourcing.
• Work with other department heads to mitigate business risk.



Purchasing – overseas the Purchasing Manager in the delivery of objectives
• Set and lead strategy for operational performance and improvement within the Purchasing department, using meaningful KPI's to monitor applicable improvement opportunities.
• Leading a clear procurement strategy that meets business goals, ethical trading, and sustainability targets.
• Ensure site facilities are maintained and enhanced to the businesses high standards and ensure the site is always safe and secure.
• Leads and manages the team effectively. Supervise, engage, and motivate a team to meet departmental goals. Specifically undertaking management of performance and conduct.
• Set objectives and carry out performance and personal development reviews, identify training for each member in the team to enhance their capabilities and support personal growth.

QHSE– overseas the QHSE Manager in the delivery of objectives
• Set and lead strategy for operational performance and improvement within the QHSE department, using meaningful KPI's to monitor applicable improvement opportunities.
• Promote QHSE throughout the business, seek improvements and deliver resolution. Setting clear objectives to deliver targets.
• Implement new systems of work and processes to aide product and safety performance, collating and analysing performance data to identify improvements.
• Oversee the CMS (Complaint Management System) ensuring relevant departments complete tasks prior to closure. Mentor the CMS team on expectation and improvements
• Oversee new product development through to completion, as part of the NPD team.
• Oversee the management of Non-conformance for both supplier and internal issues, ensuring corrective actions are implemented.
• Responsible for addressing business risk, fire, and accident reporting.
• Ensure all processes and procedures are reviewed regularly using documented RAMS and safe systems of work.
• Ensure compliance with national and international standards, whilst adapting the standards to fit the business.
• Monitor relevant quality-related training, spend and departmental budget.
• Maintain and implement relevant standards, including management of audits to ISO accreditation (Quality, Environmental & H&S standards). ensuring legal compliance is top of the agenda and maintained
to drive a zero-tolerance culture on safety matters.
• Manage, identify, and implement UK environmental legislation and drive sustainability towards net zero.
• Conduct supplier audits and monitor supplier performance.
• Facilitate regular reviews with QHSE & Technical departments on supplier performance.





Requirements

Essentials:
Experience of working in an environment which conforms to management standards, such as ISO9001.
Significant leadership experience in the management of results through diverse and multi disciplined teams. Always leads by example.
Extensive facility management experience working in a fast-paced environment which drives standards and continuous improvement.
Strong communication skills with the ability to educate and influence Senior Leaders and Board of Directors.
High attention to detail, well organized, ability to work under pressure and to deadlines. Proven problem-solving skills with the ability to apply sound judgement and a common sense and practical hands on approach to solutions.

Desirables:
Experience of implementing and maintaining ISO9001, ISO14001 standards
Knowledge on GHG reporting on sustainability
A recognised H&S Management and/or Quality Management qualification
Six Sigma qualified with proven experience of delivering operational excellence and continuous improvement projects
