Group Administrator – Civil and InfrastructureAs our next Group Administrator, you will report to the Executive General Manager – Civil & Infrastructure and will provide administrative support to the EGM and the customer stream. A key component of the role will be to collaborate with existing administrators who work alongside General Managers. This role is responsible for, but not limited to:Prepare agenda, organise, and record minutes of regular Civil and Infrastructure management meetings.Draft all the internal stream communications, including administering updates.Coordinate new employee pre-onboarding and onboarding requirements (i.e. pre-employment medical booking, inductions, IT asset arrangement, etc).Maintain records of qualifications and training of all personnel using administration rights in the system.Administer the resource management tools and allocation of resources to projects.Process invoices, good receipts and raise purchase orders.Manage travel bookings and accommodation arrangements for the management team.Manage and organise Customer Stream events and planning.Conduct clerical duties, including filing, answering phone calls, responding to emails, preparing documents and reviewing expense claims forms.Facilitating human resource activities, including recruitment, training, onboarding/offboarding employees and processing weekly employee timesheets.The role is very autonomous and you will plan your week to deliver efficient administrative service to the Civil and Infrastructure team. In-house training will be provided to support you.About YouStrong communication skills, including the ability to collaborate with others.Team player with a positive, solutions-focused attitude, attention to detail, and time management skills.Experience managing human resources matters and handling confidential information.Proven experience managing project financials, debtors, and creditors.Experience developing internal processes and documentation systems.Ability to adapt to changing situations in a calm and professional manner.Experience in using Microsoft professional suite and ideally experience with Project Management platforms such as Pronto XI, Procore, Aconex, and Adobe (or similar) and a range of Microsoft Office applications.Previous experience in the building and construction services sector is advantageous.About McMahon ServicesYou'll be working with one of Australia's largest privately-owned construction, industrial, and environmental services organisations.
