Functions & Events Coordinator

The Functions & Event Coordinator will manage the end-to-end coordination and marketing of events and functions.
This role will also support general reception duties, handle raceday ticketing, set up for race events, manage memberships, and ensure seamless operations using various systems, including Bluize, Microsoft Suite, Engage RM, and SNS (racing).
Additionally, the role will require analysis and adherence to event and marketing budgets to ensure profitability.

Key Responsibilities:
Manage the sales process for functions and events, from inquiry to booking.
Coordinate with clients and internal teams to deliver high-quality functions.
Organise event logistics, including venue setup, catering, AV, and staff coordination.
Analyse and adhere to event budgets to ensure cost-effective planning and execution.
Marketing of Function Spaces:
Promote and market function spaces to increase bookings and revenue.
Assist in creating marketing materials and manage digital marketing campaigns.
Assist the marketing coordinator in maintaining and updating social media platforms with event promotions.
Ensure marketing activities stay within allocated budgets and deliver profitable outcomes.
Reception & Ticketing:
Handle incoming calls, emails, and walk-in inquiries related to events and general venue information.
Manage raceday ticket sales, guest lists, and seating allocations.
Raceday Setup:
Ensure smooth setup of venues for raceday events, including signage, seating, and hospitality.
Coordinate with operations teams for event preparation and troubleshooting on event day.
Membership Management:
Process new membership applications and renewals.
Maintain and update membership records, ensuring accurate data entry.
Systems Management:
Utilise Bluize for financial and venue operations.
Manage event and calendar scheduling through Microsoft Suite.
Use Engage RM for customer relationship management.
Leverage SNS (racing) for race event coordination and data.
Skills & Experience:
Strong organisational skills with attention to detail.
Experience in event planning, coordination, and sales.
Proficiency in marketing, particularly in promoting venue spaces.
Excellent customer service and communication skills.
Ability to work flexible hours, including weekends and evenings.
Proficient in Bluize, Microsoft Suite, Engage RM, and SNS (racing).
Ability to manage budgets and focus on profitability in marketing and event execution.
