Job Description About the role We currently have an opportunity for a Fleet Coordinator to join our team, based in Port Melbourne, Victoria.
As a Fleet Coordinator, you will play a crucial role in supporting the vessel operations area with clerical and administrative duties. Your responsibilities will include organising crew travel, maintaining records, managing payroll information, and ensuring compliance with OHS standards.
What you will do - Your key responsibilities in this position will include: Organise crew travel arrangements and contact ship's crew regarding crew changes. Arrange travel for Management and Admin personnel, including travel diaries. Perform data entry for invoices and process approved orders for work-related clothing/PPE. Monitor crew medicals, arrange medical appointments, and manage pre-employment checks. Coordinate crew training courses and maintain training records and databases. Handle internal and external mail for the Vessel Operations Department. Administer weekly vessel operations meeting minutes and maintain seagoing roster & sea-time reports. Collate payroll information for ship staff and advise on changes. Provide relief on Reception as required. Maintain ship's staff personnel files and arrange Maritime Security Identification Cards (MSIC). Assist the Incident Management Team and perform other administrative duties as needed. Desired Skills and Experience What you will bring Proficient in Microsoft Office suite applications (Outlook, Excel, Word, PowerPoint) and in-house programmes like SERTICA. Competent office/administration and data-entry skills. Excellent written and verbal communication skills. Strong organisational skills and the ability to work under pressure.
