Working closely with senior stakeholders and a team of experienced Executive Team Assistants, you will bring a proactive, solutions-focused approach.
Your ability to anticipate challenges, navigate a fast-paced environment, and deliver seamless support will be essential to the team's success.
Key Responsibilities: Manage complex international and domestic scheduling, including travel arrangements, ensuring seamless coordination and efficiency.
Act as a primary point of contact for clients, upholding the firm's professional standards and service excellence.
Organise and coordinate high-level internal and external meetings, including conference calls, video conferencing, venue logistics, and catering requirements across multiple time zones.
Prepare and manage monthly expense reports with accuracy, ensuring compliance with financial guidelines.
Screen and handle calls with discretion, managing information flow effectively.
Serve as a strategic business partner, demonstrating commercial awareness and playing a key role within the executive team.
Build and maintain strong relationships with key stakeholders, both internally and externally, to support business growth and development.
Anticipate potential challenges and proactively implement solutions to improve workflow and efficiency.
Provide high-level business support and administrative assistance with precision and attention to detail.
Collaborate with other Executive Assistants to ensure seamless team-wide support.
Take on additional responsibilities as required, demonstrating flexibility and commitment to the success of the firm.
About You: The ideal candidate will have 5 years of experience as a Team Assistant or similar in a corporate setting, ideally within Private Equity, Investment Banking, or Financial Services.
You will have a proven track record of supporting multiple senior executives in high-pressure environments, ensuring the smooth running of daily operations.
Your career will reflect a commitment to operational excellence, strategic support, and a thorough understanding of corporate dynamics.
You will be highly proficient in the Microsoft Office suite, with advanced skills in Outlook and strong capabilities in Excel, Word, and PowerPoint.
