Job Title Executive Team Assistant
Job Description Summary We are seeking an Executive Assistant to support our National Capital Markets team in Melbourne. This role is crucial in delivering exceptional services to our local and global clients. The Executive Assistant will provide comprehensive administrative and personal assistance to senior members, ensuring efficient and confidential management of tasks.
Key Responsibilities Proactively manage the diaries of two senior executives, monitoring emails and prioritising actions accordingly. Provide personal assistance as needed to executives, supporting a wide range of professional and occasional personal tasks. Coordinate internal and external meetings, preparing meeting rooms and materials as needed. Organise and manage internal and external events. Maintain CRM client lists and communications. Book and manage domestic and international travel itineraries. Oversee reimbursements, invoicing, and payment of accounts, ensuring compliance with auditing requirements. Assist with financial reporting, including forecasting and KPIs. Prepare client correspondence and presentations. Track marketing campaigns, draft agency agreements and confidentiality agreements, manage schedules, and oversee settlement processes. Handle additional administrative and project duties as required. Qualifications & Technical Skills Exhibit meticulous attention to detail with spelling and grammar. Have minimum intermediate MS Office skills and a fast, accurate typing speed. Demonstrate the ability to multi-task and manage competing priorities effectively. Handle sensitive information with discretion while maintaining professionalism. Desired Attributes Proactive, highly motivated, and detail oriented. Diplomatic and approachable, with strong interpersonal skills.
