Executive Support Officer, Office of the Vice-Chancellor and PresidentWESTERN SYDNEY UNIVERSITY INTERNAL APPLICANTS ONLYTo be eligible to apply for this position you must be employed by Western Sydney University on an ongoing, fixed-term or casual basis at the time of this advertisement.As the Executive Support Officer, you will provide essential support to the Senior Executive and committees within the Office of the Vice-Chancellor.
You will be responsible for managing key meetings, preparing high-quality agendas, minutes, and briefing materials, and ensuring the seamless coordination of administrative and logistical requirements.
Your role will also involve creating and maintaining systems for accurate records management, contributing to briefing and speaking notes for the Vice-Chancellor, and managing schedules across the team.This position requires you to work collaboratively and independently, delivering executive support to the Chancellor when necessary and maintaining the Office's digital systems, including MS Teams and SharePoint.
You will also assist with broader team activities and provide input to maintain operational excellence.To excel in this role, you will bring a relevant qualification or equivalent professional experience in a complex organisation.
You will have demonstrated expertise in providing high-level secretariat support, outstanding organisational and administrative skills, and the ability to prioritise multiple tasks effectively.
Exceptional written and verbal communication skills are essential, as is your ability to maintain discretion and confidentiality in handling sensitive matters.
