Acting as a trusted partner, the Executive Support Officer is responsible for managing the CEO's schedule, preparing executive reports, coordinating meetings, and assisting in the implementation of key projects. This role requires excellent organisational, communication, and interpersonal skills to support the CEO in fulfilling the company's goals and objectives in a dynamic and fast-paced environment.Key ResponsibilitiesAdministrative and Executive SupportManage the CEO's calendar, scheduling meetings, appointments, and travel arrangements while prioritising conflicting demands.Prepare and organize documents, reports, presentations, and briefing materials for meetings and executive discussions.Act as a gatekeeper, screening calls, correspondence, and meeting requests to ensure efficient use of the CEO's time.Meeting Coordination and DocumentationCoordinate and arrange executive meetings, board meetings, and staff briefings, including preparing agendas, organizing materials, and handling logistics.Attend key meetings to record minutes, document action items, and follow up on deliverables to ensure accountability.Liaise with internal and external stakeholders to support communication flow and ensure all necessary information is prepared for the CEO.Project and Task ManagementAssist the CEO in managing and tracking key projects, deadlines, and action items, ensuring timely progress and completion of initiatives.Coordinate cross-functional projects or tasks as directed by the CEO, facilitating communication among teams and departments.Planning and overseeing projects to ensure they are completed in a timely fashion and within budget.Planning and designating project resources, prepare budgets, monitor progress, and keep stakeholders informed throughout.Support in the preparation of project plans, status updates, and other documentation necessary for tracking project progress.Communication and LiaisonServe as the primary point of contact between the CEO and internal/external stakeholders, handling inquiries and correspondence professionally and promptly.Maintain confidentiality and exercise discretion in handling sensitive or confidential information.Office Management and Executive SupportOversee administrative processes and protocols within the executive office, ensuring a high level of organization and efficiency.Manage files, records, and databases for the CEO, maintaining up-to-date documentation and easy access to information.Support the CEO in organizing and prioritizing tasks, helping to manage workload effectively and providing reminders for important deadlines.Research and AnalysisConduct research and gather data on industry trends, competitors, and other relevant topics to provide the CEO with insights for strategic decision-making.Prepare summaries, reports, and background information on topics as required, supporting the CEO in meetings and discussions.Required Skills and QualificationsEducation: Diploma or Bachelor's degree in Business Administration, Management, or a related field (or equivalent experience).Experience:Proven experience in an executive support or administrative role, ideally in a fast-paced environment.Familiarity with the aviation industry or corporate setting is a plus.Organizational Skills: Strong time management and organizational skills, with a keen attention to detail.Communication Skills: Excellent verbal and written communication abilities, capable of handling correspondence professionally.Interpersonal Skills: Exceptional interpersonal skills with the ability to interact effectively with diverse stakeholders.Confidentiality and Discretion: Demonstrated ability to handle sensitive and confidential information with integrity.Preferred SkillsProficiency with Microsoft Office Suite and scheduling or project management software.Experience preparing executive reports, presentations, and briefing materials.Strong problem-solving skills and ability to work independently and proactively.Work EnvironmentThis role operates in an office environment and requires a high degree of flexibility to meet the demands of the CEO's schedule.
