Primary ObjectiveProvide high level administrative and co-ordination support to the Chief Financial Officer (CFO) and assist with the timely preparation, collation and quality control of Ministerial, policy documentation and general correspondence, internal and external reporting and data collection, including NT budgetary cycle requirements.
Context StatementThe Finance Branch comprises two sections: Budget Management and Accounting and Taxation. The Branch provides client support services to the agency in the areas of budget management, financial management and reporting, tax management and travel.
Key Duties and ResponsibilitiesAct as first point of contact for the CFO and anticipate needs, including co-ordination and provision of assistance with relevant papers and briefings prior to meetings.Manage correspondence and other reporting requirements directed to the CFO. Record and monitor progress through the records management system to ensure tasks are allocated and deadlines met.Prepare routine correspondence for the CFO and provide a quality control function for Finance staff.Organise and schedule meetings and appointments, travel and accommodation for the CFO.Provide a secretariat service for meetings.Assist the CFO and Assistant Directors with the timely preparation, collation and quality control of requests for information and production of financial reports and policy.Selection CriteriaDemonstrated experience in working effectively in an executive support, secretariat or staff officer role requiring confidentiality, initiative, integrity and high levels of personal motivation.Demonstrated responsiveness and agility in dealing with multiple projects, with the capacity to prioritise and manage competing workloads under pressure and meet critical deadlines independently.Demonstrated high level literacy skills, numerical accuracy and attention to detail and experience in managing sensitive and confidential information.Knowledge of protocols, procedures and standards for the preparation of significant and sensitive documents and transferrable skills in the use of electronic record management systems.Proven highly developed interpersonal skills, including an ability to communicate professionally with senior executives, internal and external clients, stakeholders and service providers.Experience in or ability to learn financial report/data extraction and compilation for report presentation.Tertiary qualification in a relevant field.Ability to effectively use HP Records Manager, BOXI, TRIPS and ECMS.Demonstrated working knowledge of agency and government financial frameworks.The successful applicant will be required to undergo a criminal history check and be subject of scrutiny against police intelligence holdings.
