The purpose of the Executive Support Officer role is to provide professional and confidential executive support for the Executive Director (ED), including business coordination and administrative support to the Performance section.
The Performance section, led by the Executive Director (ED), is the head of discipline at the department level for ICT Security, ICT Procurement, ICT Contact Management, ICT Portfolio Performance and Library Services. The section is also responsible for actively partnering with all areas of Information Technology Branch (ITB) to provide support, advice and expert services on Workforce Strategy, Technology Business Management, Information Management, Audit & Risk Management and Operational Planning & Reporting.
In the role of Executive Support Officer, some of your responsibilities will include:
• Coordinate the day-to-day business of the ED's office including meeting preparation, email and diary management, travel arrangements, document management, and support with continuous improvement processes.
• Establish, coordinate, investigate and evaluate urgent requests requiring branch involvement of the Directorate by assigning tasks to appropriate areas.
• Liaise, consult and maintain effective relationships with team members, internal/external clients and stakeholders by carefully analysing enquiries or requests and providing accurate and timely outcomes. Establish and maintain active communication across the various teams who report to the Executive Director.
• Assist the Senior Advisor in the preparation of correspondence and coordination of reports on behalf of the Executive Directorate.
• Maintain an understanding of branch processes relating to Finance, Human Resources, Procurement, Records Management and Department Policies.
There are two opportunities: 1x permanent role and 1x temporary role (6 months with possible extension).
