To provide professional and proactive executive support to the Deputy Secretary, and other members of staff as required. The overall aim is to ensure the smooth and efficient operation of the Deputy Secretary's office.

Hours per fortnight Up to 73.5 hours - flexible options available.
Duties Provide comprehensive administrative and executive support to the Deputy Secretary and other senior staff as required, including diary management; managing internal and external emails, correspondence and briefing material; travel and event arrangements; and other administrative services to optimise timely and efficient outcomes. Manage the detailed planning, organising and coordination of administrative requirements related to the Deputy Secretary's office, including the initiation and timely preparation of documents of a highly confidential nature, monitoring the preparation of correspondence and referral of matters for comment or further action to the appropriate Division, Branch or Officer. Monitor the flow of documents into and out of the Office. Monitor the quality of documentation and communications. Serve as the first point of contact for the Deputy Secretary's office and undertake liaison with other Divisions, Departments, private organisations, senior Departmental staff. Manage small projects, undertake research and prepare adhoc reports as required. The incumbent can expect to be allocated duties, not specifically mentioned in this document, that are within the capacity, qualifications and experience normally expected from persons occupying positions at this classification level.
