About the role:As the Executive Coordinator you will: Provide confidential advisory and executive support to assist in meeting the strategic and operational goals of the division. Coordinate the flow of briefs, submissions, reports and other material throughout the department, assisting in research and analysis to ensure the efficient and timely preparation of departmental briefs and correspondence responses. Responsibilities include: Coordinate the flow, preparation and development of high-level documents/requests, submissions, reports, briefing material and correspondence for the senior officers on significant portfolio issues. Assist with the coordination and development of regional and departmental governance reports, and external reporting requirements relating to departmental activities. Assist with the preparation and coordination of information required by internal and external stakeholders which may include Briefings, Questions on Notice, and Possible Parliamentary Questions ensuring timelines are adhered to. Review and analyse correspondence, briefings, responses, and submissions in order to ensure accuracy in content, alignment with relevant legislation and policies, and ensuring compliance with departmental visual and style guides, maintaining consistency with format, structure and protocols. Assist with the preparation of submissions, reports, briefing material and correspondence for the Executive Director, Regional Operations and other senior officers on significant portfolio issues. Analyse the content and requirements of correspondence, information and briefing requests and determine where the correspondence should be actioned. Coordinate and monitor the progress of correspondence, cabinet requests, submissions, reports and briefing material to ensure timeframes are adhered to and maintain a high level of accuracy in line with established priorities, monitor important issues, and follow up action. Develop, maintain and foster effective networks and liaison with regional and departmental portfolio areas, and other key stakeholders ensuring all correspondence reflects currency of information, initiatives and departmental strategic direction. Establish and maintain strong working relationships and networks with clients and officers of the department in order to expedite the business activities of the division. Provide support to the office administration staff ensuring the provision of confidential administrative and executive support.
