The position is a key part of the
team, providing a range of efficient and effective executive assistant to both
the executive director, the strategic policy and the external relations
division.

Duties & Responsibilities:
Manage the appointment diary of the Executive Director,
ensuring timely preparation for meetings and coordination of day-to-day
activities.
Develop and oversee operational knowledge of the
Executive Director's administrative processes, practice and policies to guide
work outcome.
Attend Executive meetings, take minutes, and ensure the
execution of action items.
Coordinate meetings, conferences, and interstate
travel arrangements.
Lead and manage coordination, quality control and process
management for strategic governance, Cabinet and parliamentary support services
acting as the Office of the Executive Director.
Incorporate background information supporting
decision-making processes and continuously improve the quality of
correspondence.
Coordinate effective office communication protocols,
address correspondence in a timely manner, and determine relevant workload
priorities.
Be responsible for end to end support for projects and
programs delivered by the directorate.
Build effective relationships with key stakeholders and
other senior agency executives and their offices, to ensure the Executive
Director and division are kept informed.
Skills & Experience:
High level proficiency in administration with the ability
to provide executive support to senior managers
Demonstrated experience in delivering confidential
executive and governance support services.
Ability to solve problems and use initiative,
particularly related to the provision of executive and administrative support
Effective verbal and written communication skills,
including clear and concise correspondence and successful liaison and
negotiation skills.
Capacity to work independently with diplomacy,
discretion, creativity, initiative, and judgment in a politically sensitive
environment.
High-level organisational and time management skills,
ability to manage high work volumes, changing priorities, and sensitive,
confidential issues.
Proven experience in providing high-level executive
support, correspondence management, and analysis of written information.
