DescriptionApproximately 20 hours per week Are you looking for a dynamic, part-time role where you can support senior executives while maintaining a balanced schedule?
We are seeking an organised and proactive Executive Coordinator to join our team on a permanent, part-time basis.
This role offers the opportunity to work approximately 20 hours per week, with flexibility to job share and work across five days on a rotating schedule.
In this role, you will manage front desk operations, provide Executive support, process invoices, and handle office administration.
You'll also play a vital role in ensuring the smooth running of the office by managing supplies, coordinating vendors, and contributing to work health and safety initiatives.

Key Accountabilities: Concierge Support: Manage front desk operations, including receiving deliveries, answering phones, visitor registration, and providing general support to functional coordinators.Executive Assistance: Provide diary management, travel booking, and expense processing support for assigned executives, as well as assisting with document preparation (PowerPoint and Excel).Invoice Management: Process invoices and other general billing tasks.Office Administration: Management of incoming and outgoing mail, including Australia Post, maintain meeting rooms, maintain appropriate stock levels for office supplies, update notice boards, and coordinate vendor services (e.g., fruit boxes, secure waste destruction).Workplace Safety: Act as a First Aider and Fire Warden.About you: Proven experience as a PA or in a similar role.Excellent organisational and time management skills.Exceptional verbal and written communication skills, with the ability to write clearly and succinctly in various styles to stakeholders including Executives and Board Members.Strong multitasker, who can prioritise effectively, and work both independently and as part of a team.Ability to maintain a high level of confidentiality.A positive, can-do attitude and flexibility to adapt to change.Ready to make an impact?
