Are you a proactive, detail-oriented executive assistant, ready to make an impact and drive results?
As an executive assistant at UBT, you will be the right hand of your manager, ensuring a seamless operation and allowing your executive to focus on high-impact initiatives.
You'll play a crucial role in coordinating schedules, managing communications, and assisting with executing key projects that will drive company growth and, ultimately, customer impact.

Your responsibilities:
Calendar & Inbox Management: Manage the department manager's schedule, including prioritising and organising meetings, events, and appointments, coordinating meeting materials, and preparing agendas and minutes.
Communication Support: Draft and manage emails and reports ensuring clear and effective communication.
Project Coordination: Assist in planning, executing and tracking the progress of department projects and strategic activities.
Travel Arrangements: Arrange travel bookings and itineraries and manage logistics for seamless travel.
Documentation & Presentation: Prepare presentations, documents, and reports, ensuring accuracy and professional polish.
Events: Coordinate and project manage department events.
Confidentiality: Maintain a high level of confidentiality and react to sensitive information in a professional manner.
Administrative Assistance: Provide additional support, including data management and expense reporting.
Who we are looking for:
Experience: 2+ years in an Executive Assistant or similar role, ideally in a fast-paced environment.
Experience in a professional services/corporate environment.
Strong Organisational Skills: Ability to juggle multiple tasks, set priorities, and meet deadlines without compromising quality.
Excellent Communication: Outstanding written and verbal communication skills with a professional, positive attitude.
Tech-Savvy: Proficient in MS Office Suite (Outlook, Word, Excel, PowerPoint) and comfortable learning new tools.
Attention to Detail: You're meticulous, ensuring nothing slips through the cracks and accuracy is maintained.
Proactive & Flexible: Eager to take the initiative, adapt to change, and support the team wherever needed.
High Levels of Discretion & Confidentiality: Ability to handle sensitive information with the utmost professionalism and care.
