The Executive Assistant to the Secretary plays a critical role in assisting the Secretary to ensure that they are briefed, prepared and able to meet all of their obligations and commitments. The Executive Assistant will provide high level administrative support including liaison with Executive and Parliamentary Officers and other senior internal and external stakeholders. Duties are carried out under broad direction and include analysing and prioritising meeting requests and managing all aspects of the administration of the office of the Secretary.
The role must show initiative and make delegated complex operational or administrative decisions on behalf of the Secretary. The Executive Assistant will support, coach, and develop more junior and less experienced Executive Assistants through guiding, advising and mentoring. At this level, the Executive Assistant is expected to maintain currency in relevant subject matter areas through ongoing professional development.
This role requires a high degree of professionalism, judgment, and discretion. Strong relationship skills are also needed to influence and support collaboration and innovation.

Under broad direction, the Executive Assistant to the Secretary undertakes a wide variety of activities related to executive support, including:
Managing all correspondence in and out of the Secretarys office, including email and all other types of correspondence, escalating as required. Managing and co-ordinating the Secretarys diary, including scheduling, organising venues, making travel arrangements and booking accommodation. Providing high level project support for specific projects as requested by the Secretary and undertaking research and contributing to research papers. Preparing and co-ordinating a range of complex and/or sensitive correspondence, corporate documentation, submissions, briefs, notes and advice for the Secretary. Investigating issues and preparing information and recommendations for the attention of the Secretary. Actively contributing at departmental meetings and representing the department at external meetings, conferences, and seminars. Actively managing and promoting relationships with internal and external stakeholders, including liaison and limited negotiation at senior levels. Providing coaching, mentoring and guidance to all Executive Assistants within the department; advising Executive Assistants on current practices and ensuring their learning and development needs are met.
