ABOUT THE ROLE
The Executive Assistant to the Principal plays a key role in contributing to the efficient management and operation of the Principal's office in the provision of a range of administrative, governance and systems support to the Principal, members of the senior leadership team and the School Board.
The Executive Assistant works with discretion and confidentiality and is the first point of contact for monitoring communications and workflow to and from the office, coordinating meetings and appointments, document management, and preparation of information and correspondence.
The role presents a professional, warm, positive and welcoming presence, and will engage with the wider School community in a manner that brings credit to the School and to the office of the Principal.
In this role you will be pivotal in managing daily administrative duties, fostering clear communication, and supporting the Principal's foundational year, working closely to help shape a thriving and impactful school environment.
Key responsibilities include:
Manage the Principal's calendar with precision, coordinating a high volume of appointments, meetings and travel arrangements, ensuring the days run smoothly and efficiently.
Provide the Principal with alerts in relation to school calendar events and other responsibilities and appointments, prioritise tasks and prepare and organise agendas, minutes and other documentation.
Act as the primary point of contact for the Principal's office, maintaining smooth information flow across departments, staff, parents, and external stakeholders.
Assist in the organisation of large-scale school events, including logistics, communications, and coordinating with internal teams and external vendors.
Manage day to day correspondence and preparation of letters, emails, reports, presentations and other material as required.
Draft, proofread, and distribute high-level correspondence, reports, and presentations on behalf of the Principal.
Serve as a liaison between the Principal's office and various school departments, ensuring consistent and clear communication across large teams.
Support the broader administrative team as needed, fostering a collaborative and efficient office environment.
This is a full time position that will commence in Term 1 2025 in a progressive, supportive and well-resourced educational environment.
ABOUT YOU
You are a passionate, experienced Executive Assistant who can lead by example and model exceptional practice.
You are an expert in your field with proven experience in a similar role, preferably within an educational environment.
You will also have:
Sound interpersonal and customer service skills and the capacity to deal confidently and courteously with parents, staff, students and community at all levels.
Strong organisational and planning skills with the ability to successfully complete several tasks concurrently, maintain high levels of attention to detail, maintain documentation and record keeping, and calmly and efficiently meet tight deadlines in a constantly changing environment.
High level of integrity and discretion in handing sensitive information or confidential matters.
Ability to build exceptional rapport with parents and other key stakeholders.
Excellent communication skills, both verbal and written, in particular accurate spelling and grammar, together with impeccable attention to detail.
Ability to provide clear written advice and produce communications for a variety of communication channels and audiences.
Sound analytical, problem solving and conceptual skills.
Initiative and personal accountability.
Excellent computer skills including advanced skills in Office computing applications such as Word, Excel, PowerPoint, and Outlook.
