Casual Executive Assistant position within the Sydney School of Architecture, Design and Planning Use your extensive administrative and organizational skills to support the Head of School & Dean HEO6 Step 1 $68.08 per hour + 11.5% superannuation About the opportunity The University of Sydney, School of Architecture, Design and Planning is seeking an Executive Assistant to provide the full suite of professional executive support services to the Head of School and Dean and manage the administration of the office in a timely and effective manner, ensuring the specific needs and day-to-day requirements are managed in highly efficient and effective manner.
As the first point of contact representing the Head of School and Dean, this role requires extensive administrative and organisational skills in order to manage a high volume of activity as well as client service skills, tact, and diplomacy.
Key to the success of the incumbent is their ability to manage and prioritise matters bought to the Head of School and Dean's Office.
When required, the Executive Assistant will provide support to the School General Manager and other member of the Executive on a needs basis.
Your key responsibilities will be to: provides broad, high level professional executive support and effectively manage the general day to day office operations and administration activity.
manage the Head of School and Dean's diary as well as organizing travel when required build and manage effective working rapport with key stakeholders and staff across the University ensure quality application of, and compliance with, University administration policies and procedures undertakes ad-hoc projects and other activities as required About you administrative experience in a tertiary organisation, working knowledge of academic institutions, structures and the higher education sector (preferred) proficient time and workload management skills with demonstrated ability to prioritise effectively.
Manage multiple tasks meet deadlines and achieve required outcomes with keen attention to detail, and a demonstrated self-starting approach to work.
excellent verbal and written communication skills including the ability to engage in independent consultation with a wide range of staff in a large complex organisation and, as appropriate, with external parties.
excellent interpersonal, relationship building and influencing skills with the ability to engage effectively with a range of stakeholders whilst ensuring a strong client focused outlook demonstrated ability to progress initiatives and achieve objectives working within broad guidelines and directions with minimum supervision.
experience in supporting committees, including the timely and accurate preparation of agendas and minutess, and maintaining action items maintenance, revision and improvement of effective administration systems and practices, including correspondence, filing and records management.
working knowledge of software programs such as Concur, and content management systems such as SharePoint (preferred) Sponsorship / work rights for Australia Please note: Visa sponsorship is not available for this position.
For a continuing position, you must be an Australian or New Zealand citizen or an Australian Permanent Resident.
